Creating bank cash account definition
This page allows you to associate the account code(Control and Interim account) to the bank/cash/PTT code. The account code can also be mapped to the bank charges. You can specify the finance book in which you want to create the bank / cash account definition. The system retrieves all the bank/cash/PTT code along with the currency based on the finance book selected. You can enter the account code for the bank/cash/PTT and the bank charges. You can also specify the date from which the account definition details are effective.
The system updates the status of the bank cash PTT code for the finance book from “Fresh” to “Active”. The system stores the login ID of the user and the system date along with the account details.
Select the “Create Bank / Cash Account Definition” link under the “Account Rule Definition” business component.
The “Create Bank / Cash Account Definition” page appears.
Enter the following field:
Finance Book |
Use the drop-down list box to select the code identifying the finance book. All the finance books mapped to the login organization unit are available for selection in the ascending order. The system displays the first finance book in the list by default on launch of the page. |
The system displays the following in the “Account Definition Details” multiline:
Note: The system retrieves the bank/cash/PTT codes, which are in “Fresh” status from the “Bank Cash Definition” business component for the selected finance book.

The transaction currency of the selected finance book. The currency is the currency assigned to the bank cash code. |
Enter the following fields:
Bank Cash PTT Account Code |
The code identifying the account to be associated to the bank/cash/PTT code (Alphanumeric, 32). Mandatory. The account code must have been defined in the “Create Operative Chart of Accounts” of the “Accounting Setup” business component. |

Note: The bank/cash/PTT account code must be assigned to the bank/cash/PTT code in the finance book only once i.e. bank cash account defined for a bank cash code must not be redefined for any other code.
Bank Cash account defined for a Bank Cash code cannot be defined for any other Bank Cash code either in the Finance Book selected or any other Finance Book within the login company.
The transaction currency of the account must be the same as the currency of the bank cash code.
The account code defined should be of the control account type “Bank Cash PTT account”.
Bank / PTT Interim Account Code |
The code identifying the interim account to be associated to the bank/PTT code (Alphanumeric, 32). The account code must have been defined in the “Create Operative Chart of Accounts” of the “Accounting Setup” business component. |

Note: The bank/PTT account code must be assigned to the bank/PTT code in the finance book only once i.e. bank cash account defined for a bank cash code must not be redefined for any other code.
Bank Cash account defined for a Bank Cash code cannot be defined for any other Bank Cash code either in the Finance Book selected or any other Finance Book within the login company.
The transaction currency of the account must be the same as the currency of the bank cash code.
The account code defined should be of the control account type “Bank Cash PTT account”.

The code identifying the account to be associated to the bank charges (Alphanumeric, 32). Mandatory. The account code must have been defined in the “Create Operative Chart of Accounts” of the “Accounting Setup” business component. |

Note: The bank charges account code must belong to the account group “Expense”.
Effective From Date |
The date from which the bank / cash account definition is effective (Date Format). Mandatory. The effective from date must be the start date of the financial year or the period. The effective from date must be greater than or equal to the start date of the account code and less than or equal to the effective to date of the account code. |
The following things must be taken care while entering the Effective From Date:
If for the bank code “BC1” and an account code “BOB123” as bank/cash account has already been defined and deleted with date range of 1st April 2001 to 31st March 2002, then the effective from date for the same combination must start from 1st April 2002.
If the bank/cash account “BOB123” has already been mapped to a combination from 1st Apr 2001, has to be mapped to a different account “BOB456” with the same effective date, then the mapping with the account “BOB123” can be deleted and a new mapping can be done to the account “BOB456”.
Check the box in the “Select” column of the multiline to mark the account definition details for creating the bank/cash account definition.
Click the “Create” pushbutton to create the bank / cash account definition.
The system updates the status of the bank cash PTT code for the finance book from “Fresh” to “Active”. The system stores the login ID of the user to the Created By and the system date to the Created Date fields.
To proceed, carry out the following
Select the “View Bank/Cash Account Definition” link at the bottom of the page to view the bank/cash account definition.
Select the “Create Trust Receipt Loan Account" link at the bottom of the page to create the Trust Receipt Loan Account for the bank code.
Note: This link would be visible only when the Trust Receipt applicability is set to Yes in Installation Parameter Setup component.
Select the “Create Instruments Discounting Account" link at the bottom of the page to create the Instruments Discounting Account for the bank code.
