This page allows you to record the actuals of the tools that are utilized during the execution of the work order. Tell me more.
Select the “Tools Actuals” link from the bottom of the main page.
The “Tools Actuals” page appears.
If you wish to record the tools utilized for a work order other than the work order selected in the previous page, enter the following field:

The work order for which you wish to record the tools that are utilized (Alphanumeric, 18). |
Press <Enter>. The system retrieves the details of the work order. The description of the work order is displayed alongside. |

WO Status |
The status of the work order. |
Note: You can record the actuals for labor utilized on a work order only when it is in the "Scheduled", "Deferred", "Interrupted", "In progress" or "Completed" status.
The system fills in the “Actuals On” drop-down list box with the tasks belonging to the work order and retrieves in the multiline the tools that are already specified for the work order.
Enter the following field:

Use the drop-down list box and select “Work Order”, to specify the tools that are utilized for the work order. If you wish to specify tools for the tasks belonging to the work order, select the appropriate task from the drop-down list box. The system displays “Work Order” by default. |

The maintainable object on which the work order is raised, which can be “Equipment” or “Location”. |
Code |
The identifier of the equipment or location. |
The description of the equipment or location is displayed alongside. |

The planning group of the work order. |
Work Group |
The work group that is responsible for carrying out the work order. |
Sch. Start Date |
The date on which the work order was scheduled to start. |
Sch. Compl. Date |
The date on which the work order was scheduled to complete. |
Act. Start Date |
The actual start date and time of the work order. |
Act. Compl. Date |
The date and time at which the work order must be completed. |
Assigned Tool Hrs. |
The number of hours for which the tool has been assigned for the work order. |
Actual Hrs. |
The total number of hours for which the tool has actually been utilized for the work order. |
Enter the following fields in the “Tool Actuals” multiline:
Tool Code |
The tool utilized for the work order (Alphanumeric, 30). Ensure that the tool has already been defined in the “Define Tool” activity of the “Tools” business component and is in the “Active” status. |

Tool Sr. No. |
The serial number of the tool (Alphanumeric, 20).. Ensure that the tool serial number has already been defined for the tool in the “Define Tool” activity of the “Tools” business component. |

Qty. (Nos.) |
The number of tools utilized for carrying out the work order (Decimal). Ensure that the quantity is not negative or zero. If you leave this field blank, the system displays “1”, by default. |
From Date |
The starting date from which the tool has been utilized for the work order (Date Format). Data entry in this field is mandatory if you have specified a tool code in the “Tool Code” field. Ensure that the date entered here is not later than the date entered in the “To Date” column and the current system date. |
Time |
The time from which the tool has been utilized for the work order (Time Format). The system displays "0.00" if you leave the field blank. |
To Date |
The date till which the tool has been utilized for the work order (Date Format). Ensure that the date entered here is not later than the current date. If you leave the field blank, the system the calculates this date as the sum of the date entered in the “From Date” field and the number of hours entered in the “Hours Worked” field. |
Time |
The time till which the tool has been utilized for the work order (Time Format). If you have specified a date in the "To Date" field and have left this field blank, the system automatically assigns the current time if you have specified the current date in the "To Date" field or "23.59" if it is a previous date. |
Note: Ensure that the tool code is not overlapping for the same date and time combination.
Hours Worked |
The number of hours for which the tool has been utilized for the work order (Decimal). Ensure that the hours entered is not negative. Also ensure that the hours entered in this field is not greater than the difference between the dates entered in the "From Date" and "To Date" columns. |
The system displays the following fields in the multiline: |

As Of Date |
The date on which the details of the tool are recorded in the system. |
Time |
The time on which the details of the tool are recorded in the system. |
Check the box in the “Select” column of the multiline to mark the tools that you do not wish to specify for the work order, for deletion.
Click the Delete icon in the toolbar above the multiline to delete the tools selected in the multiline.
Click the “Update Actuals” pushbutton to specify the details of the tools that were utilized for the execution of the work order.
The system saves the other tool actuals for the work order with the following details:
If the work order has already been initiated in the “Initiate Work Order” activity and if the actual start date entered in this activity is earlier than the actual start date entered in the “Initiate Work Order” activity, the system records the details of the actuals with the earlier date.
If the status of the task/work order was “Deferred” or “Scheduled”, it changes to “In Progress” after the actuals are entered.
If the status of the task/work order was “Interrupted”, the status changes to “In Progress” if the actuals are recorded for the task for a date later than the date on which the task was “Interrupted”.
If the status of the task/work order was “Interrupted”, the status remains as “Interrupted”, if the actuals are recorded for the task for a date earlier than the date on which the task was interrupted.
Recording the tools utilized for the work order – An overview
This page allows you to record the actuals of the tools that are utilized during the execution of the work order. You can record the tool actuals for the work order selected in the previous page. You can also enter a work order in this page and record the actuals of the tools that are utilized during its execution. You can record the actuals of the tools that are utilized for the work order or for the tasks belonging to the work order.
You can record the tool actuals by specifying the following details:
The tool and its serial number.
The period for which the tool has been utilized for the work order.
The number of tools that has been utilized.
The number of hours for which the tool has been used for the work order.
Define Tools under the “Tools” business component
Record the actuals of tools that are utilized for the work order
Record the actuals of tools that are utilized for the work order
Enter the tool code and the tool serial number in the “Tool Code” and “Tool Sr.No.” fields in the multiline.
Enter the number of tools that were utilized in the “Quantity (Nos.)” field.
Enter the number of hours for which the tool has been utilized in the “From Date”, “Time”, “To Date”, “Time” and “Hours Worked” fields in the multiline.
Click the “Update Actuals” pushbutton.
