HR Set Up Unit

The setup unit in which the HR setup component is deployed.

Employee Code Generation Method

Indicate whether the employee code generation method is to be set as either “Automatic” or “Manual”. If the generation method is set to automatic, then the system increments the current value of the employee code by one and assigns it to the new employee being created. For example, if the current value is 0007, the system increments it by one and assigns 0008 to the new employee file. If you set the generation method to manual, the user has to enter the numeric value of the employee code manually

Length of Employee Code

The maximum length of the employee code. It must be a positive integer less than ten. If you enter the value as nine, it indicates that the maximum length of the employee code cannot exceed nine characters. For example, if you specify that the employee code must have a prefix and assign the prefix length as three, the maximum character length of the numeric part of the code will be six characters.

Employee Code Prefix

Indicate whether the employee code should have a prefix or not.

  •  Select the checkbox to indicate that  the employee code must have a prefix:

  •  Leave the check box blank, to indicate otherwise.

Length of Employee Code Prefix

The maximum length of the employee code prefix. This value must be a positive integer less than the maximum length set for the employee code. If the maximum length of the employee code is specified as nine and if you assign the prefix length as three, the maximum character length of the numeric part of the code will be six characters. Enter the following details in the corresponding columns in the multiline.

Prefix

The prefix for the employee code. The prefix length should be less than or equal to the value displayed in the “Length of Employee Code Prefix” field, on top of the multiline.

Start Value

The starting values, from which you want the employee codes to be generated. Example: the employee codes can be generated from 40,000 or 200, depending on the start value that is set. The current value is set as 0, by default.

If a new employee to the organization is added through the “Add Employee File” activity, the current value will be incremented by 1.

Current Value

Denotes the Employee code value (numeric portion) that was last assigned to an employee through automatic code generation

Status

Select “Yes” or “No” from the drop-down list box. If you select,

  •   “Yes”, you indicate that the prefix is not activated to function.

  • “No”, you indicate that the prefix is in active status and is available for use.
