This page allows you to record the fuel filling details. You can carry out search on the filling number, pump type. Based on the search criteria the system retrieves and displays the fuel filled number, type of pump used and the status.

 

The “Maintain Fuel Filling” page appears.

To create new fuel filling details

Status

The status of the fuel filling. The statues can be draft, fresh and authorized.

Filling No.

The unique number identifying the fuel filled. Mandatory.

Transaction Date

The date on which the transaction takes place.

Numbering Type

Use the drop-down list box to select the numbering type.

Pump Type

Use the drop-down list box to select the pump type. The combo is loaded with “Internal” or “External”.

Tank Code / Supplier

The code identifying the tank code or the supplier.

Fuel Filled

Use the drop-down list box to select the fuel filled. The combo is loaded with the values “Maintain Codes” under the “Maintain Organization” business component.

Finance Book

Use the drop-down list box to select the code identifying the finance book. All the finance books that have been mapped to the login organization unit will be available for selection in the ascending order.

Currency

Use the drop-down list box to select the base currency in which the transaction was done. The combo is loaded with login user company base currency.

Remarks

Any remarks pertaining the fuel filling.

Equipment

The code identifying the equipment. Mandatory.

Date

The date on which the fuel has been filled.

Time

The time at which the fuel filled.

Odometer

The measurement of the distance travelled by a wheeled vehicle.

Qty.

The amount of quantity the fuel is filled.

UOM

The unit of measurement of the quantity.

Zone

The number identifying the zone in which the fuel is stored.

Note: This field is visible when the Pump type is “Internal”.

Bin

The number identifying the bin in which the fuel is stored.

Note: This field is visible when the Pump type is “External”.

Fuel Item

The type of the fuel item.

Pump Code

The code identifying the pump in which the fuel is filled.

Note: This field is visible when the Pump type is “External”.

Location

The location at which the fuel is filled.

Note: This field is visible when the Pump type is “External”.

Rate

The rate at which the fuel is filled.

Amount

The amount of fuel filled.

Card No.

The unique number identifying the card through which the payment has been made.

Tran. No

The reference number generated for each transaction.

AC Usage

The AC usage which is used to get an account code from ARD (Account Rule Definition).

CC Usage

The user defined name which points to the cost center.

Anal. Code

The code or identifier that is mapped to the analysis code.

Sub Anal. Code

The code or identifier that is mapped to the sub analysis code.

Modified By

The login of the user who modified the fuel filling details.

Modified Date

The date and time at which the fuel filling details were last modified.

Processed By

The name of the person who processed the invoice generation details.

Processed Date

The date at which the invoice generation is processed.

Comments

Any comments pertaining the fuel filling.

To modify an existing fuel filled details

Search On

Use the drop-down list box to specify the search on which the details are retrieved. The combo is loaded with “Filling No.”, “Pump Type”, “Tank Code” and “Status”.

Enter the appropriate details in the specific search.

Date From

The date from which you want to retrieve the fuel filling details.

Date To

The date till which you want to retrieve the fuel filling details.

Filling No.

The number identifying the fuel filled.

Pump Type

The type of pump either internal or external by which the fuel is been filled.

Task Code / Supplier

The unique code identifying the task code or the supplier.

Transaction Date

The date on which the transaction takes place.

The system displays the corresponding fuel filling details in the right hand side header and tabs. You can modify the required fields.

The system displays the following details in the “Data History” group box.

Created By

The login Id of the user who had created the fuel filling details.

Created Date

The date on which the fuel filling details was created.

Modified By

The login of the user who modified the fuel filling details.

Modified Date

The date and time at which the fuel filling details were last modified.
