The quotation number is either automatically generated or entered manually. If the numbering type is set to “Manual”, then the system ensures that there are no special characters or spaces. If it is to be generated automatically, then it ensures that this field is not left blank. On generation of the number, the system checks for the existence of the quotation number. If it exists, then the system regenerates the number. |

Map Customer Product Code to Item Code |
This check box is selected when the customer code has to be mapped to the item code. This mapping will be updated in the “Create Customer Item Details” link in the “Create Customer” activity of “Customer” business component. In case if the customer is an existing customer and if this check box is selected, then the system maps the customer’s product code to the item code and updates back into the “Customer” business component. In the “Customer” business component, the system updates the customer product code, Item code, variant code and Item variant description. |

For creating a quotation
Click the “Create Quotation” pushbutton to create a quotation.
If the customer is an existing customer, then the system checks if the specified customer is same as that of the customer specified in the reference document.
If the customer is a prospective customer, then the system checks if the specified name of the customer is same as that of the customer name specified in the reference document.
The system updates the status of the quotation to "Draft" if at least the field "Quotation Date", "Numbering Type", "Quotation No." and customer name are filled and are valid and at least one of the mandatory information is not filled. If the schedule type is set to “Multiple”, then the quotation status is still set to “Draft” even if all mandatory fields are filled.
The system updates the status of the quotation to "Fresh" if all the valid mandatory informations are filled and "Schedule Type" is set to "Single".
The system saves the quotation number with all its associated details.
The line numbers for the item are automatically generated.
The system updates "Created by" with login user id and "Created date" with the system date.

Create Quotation – An Overview
The quotation can be prepared based on an existing document or it can be a direct quotation. The system generates the quotation number automatically based on the numbering series selected as prefix and “year” as suffix or can be entered manually. If the quotation is based on an existing document, then the system retrieves and displays the corresponding document details in this page.
In case of a direct quotation, the customer can be either an existing or a prospective customer. If the customer already exists, the customer details will be automatically populated to the respective fields. When the customer is a prospective customer, the details of the quotation are to be entered manually and saved under prospective customer code. This would be considered as a reference when the same customer returns with a sale order. For a direct quotation, the item and the shipping details can be entered. The price details of the item included in the quotation is computed and displayed by the pricing engine.
The ATP information indicates the availability of stock on the promised date to meet the ordered quantity. It also checks for the stock availability taking into consideration the stock on date. Irrespective of the result of ATP, the ATP quantity will be displayed. After all the necessary details are furnished, the quotation number is generated.
Specify Additional Details
This page allows you to specify additional details related to the item. For an existing customer, the shipping details will be automatically populated in the page. In case of a prospective customer, the shipping details and the mode of advance payment can be specified.

Specify Schedule
This page allows you to specify the schedule details for shipment of items mentioned in the quotation where the type of schedule is set to “Multiple”. The item and customer details are populated from the main page. For the selected line number, the schedule details are added. The ATP can be run against each line item, which indicates the availability of stock on the promised date to meet the ordered quantity. Irrespective of the ATP result, the ATP quantity is displayed in the page.

Select the “Specify TCD by Item” link at the bottom of the page to specify TCD details for each item line.
The “Specify Notes” link permits you to enter important textual information related to Quotation. Users performing the packing, Sale Ordering and invoicing processes, also view the notes specified in this link. The notes may be of a general nature i.e. Standard Notes, therefore applicable to all processes associated with the quotation. In some cases, the notes may be specific to the process, and you can direct these notes to the document relevant to that process only. This interface allows you to record notes for all such possible scenarios.
The notes could be specified at both the document level and item level. Only those values authorized for Quotation are retrieved and displayed. If the notes are to be specified at line level then the line number is to be entered. Based on the line number entered or selected, the item details are displayed in the group box. Standard Notes can also be specified in this page.

Specify TCD by Item
This page allows you to specify the Tax/Charges/Discounts for each line Item. You can select the line number for which the TCD details are to be specified. The TCD code is entered manually, if known or with the help facility available. Based on the TCD code entered, the TCD details are populated from the “Tax Charge and Discount” business component and displayed in the multiline. The information regarding the currency in which the quoted orders are to be paid is also captured in this page. The total amount of TCD is recalculated and displayed.

Specify TCD by Document
This page allows you to specify the Tax/Charges/Discounts for the document as a whole. The details of the customer are populated from the main page. The TCD code is entered manually if known, or with the help facility available. Based on the TCD code entered, the TCD details are populated and displayed in the multiline from the “Tax Charge and Discount” business component. The currency in which the orders are to be paid is also captured in this page. The total amount of TCD is computed and displayed in the multiline.

Specify VAT
This page allows you to specify the VAT details for the selected quotation number. You can specify the exchange rate and calculate VAT charges after specifying the VAT Category and the VAT Class. The system apportions the VAT charges calculated for the debit / credit note for the individual items for which VAT is applicable. You can specify the apportioned amount or retain the original apportioned amount. The system also calculates and displays the VAT amount and the corrected amount in the currency in which the debit / credit note was created and also in the base currency of the company.
Select the "Specify VAT" link at the bottom of the "Create Quotation" page.

Specify Quantity Price Break
This page allows you to specify the rate for an item, based on the range of quantity specified. The prices of items at various quantity breaks are defined in the “Pricing” business component. The customer can view these quantity breaks based on the item ordered.
You can change the range and rate of the quantity depending on the customer. If the customer wishes to decrease the quantity of goods ordered from the quotation number, then the prices will be higher than the ones mentioned in the quotation. On the other hand, if the quantity increases from the one mentioned in the quotation, the price of the goods decreases.
Select the "Specify Quantity Price Break" link at the bottom of the "Create Quotation" page.

Specify Promotional Items
This page allows you to specify the promotion details applicable for the quotation. Promotion is the use of a price off or value-added offer or incentive for the purpose of influencing purchasing behavior. Promotions can be seen as temporary efforts to create extra interest in the products or service by offering values in excess of those afforded by such purchases.
The types of promotions that are applicable for ordered items are Price deal, Discount Deal and Free goods. Promotion details can be recorded for each line item or for the document as a whole. Depending on the level of the promotion selected, the promotions items ID applicable for that level are displayed in the multiline. You can also enter the details pertaining to the promotion items. The item details are populated from the main page.

Specify Attribute
This page allows you to specify the attribute details for the selected line number. The attributes pertaining to the items are of two types namely “Qualitative” and “Quantitative”. Quantitative denotes that the attribute is of numerical type. Qualitative indicates that the attribute is of a descriptive type. For Example: Color, Fragrance or Shape.
The line number of the item is entered for which the attribute details are to be added. Based on the line number entered, the details of the item are populated from the main page. The attribute details pertaining to an existing customer are retrieved and displayed in the multiline. For a new customer, the attribute code can be entered if known or with the help facility available. Depending on the attribute code selected, the attribute details are displayed in the multiline. You can also enter the values of the qualitative and quantitative attribute of the item.

The system runs the pricing engine and retrieves the price for the attribute specified updates back in the item basic price in the main page.

The system ensures that values specified for the attributes are within limit or not.
Create Quotation – A summary of the activity
This activity allows you to create a quotation. A quotation is prepared for a customer, which acts as a future reference document when a sale order is raised. Quotation is an estimate of item costs submitted by a vendor to a prospective client. Quotations generated can be based on an "RFQ", "Quotation" or can be a direct quotation without any reference document.
This activity also allows you to specify the schedule details for the items to be shipped, TCD details for each line item, the TCD details for the whole document, the VAT details, the details of the price break based on the quantity of item ordered, the details of the promotions for the ordered items, the attribute details pertaining to each line item, and to add important textual information related to Quotation.
