Using online help

This page allows you to specify the queries related to each line item. If more than one query is to be entered for a single line item. For the selected line number, the item details are displayed. The queries related to that line item can be captured in this page. The status and the type of the customer’s query are recorded in this page. The query number is generated for each query on submission of all the necessary details in the page.

The " Specify Additional Item Level Queries " page appears.

The system displays the following field:

Quotation No.

The number identifying the quotation. The system ensures that this field is not left blank and also checks for the existence of the number. It also checks if it is in “Held”, “Deleted” or “Cancelled” status. If so, the system displays an error message.  

Item Line No.

The number identifying the line item against which query details are to be specified (Integer). The system ensures that this field is not left blank and also checks if it exists in the previous page.

The system displays the following details based on the line number entered or selected:

Item Code

The code identifying the item.

Variant Code

The code identifying the variant of the item.

Item Variant Desc.

The description of the item variant.

Queries

The query specified by the customer (Alphanumeric, 100).

Query Type

Use the drop-down list box to select the type of the query from the customer. You can select from “Commercial”, “Technical” or “General”. The options available are:

 
  • Commercial – indicates the customer’s query related to price, discounts.

 
  • Technical – indicates the query related to the item. Example: queries regarding to material used.

 
  • General– indicates the general queries in quotation.

Response

The response to the queries enquired by the customer (Alphanumeric, 255). The system checks if a query is available against each response.

Status

Use the drop-down list box to select the status of the query. You can select from either “Pending” or “Closed”.  The options available are:

 
  • Pending –indicates that the query is in a “Pending” status.

 
  • Closed –indicates that the query has been responded. So the status is set to “Closed”.

The system displays the following field on submission of all the details in the page:

Query No.

The unique number identifying the query. The system checks for the existence of the query number. if the number does not exists, then the system generates the query number in the following format “(Quotation No.)/001”, “(Quotation No.)/002”.
