Extending clearance permit

This page allows you to extend a clearance permit. Tell me more.

Select the “Extend Permit” link from the bottom of the “Select Clearance Permit” page.

The “Extend Permit” page appears.

Enter the following field if you wish to extend a clearance permit other than the clearance permit selected from the previous page.

Clearance Permit

The clearance permit that must be extended (Alphanumeric, 30).

Press <Enter>. The system retrieves the details of the clearance permit.

The system displays the following fields:

Date	The system displays the current system date.
Status	The status of the clearance permit, which can be “WaitForExt” or “Approved”.
Reason	The reason for which the clearance permit was created.
	Zoom facility available
Permit Type	The type of the permit
Category	The category of the permit.

Enter the following fields:

Permit Extended From	The date from which the clearance permit is extended (Date Format). Data entry in this field is mandatory
	If you wish to extend the clearance permit
	If the date from which the extension of clearance permit is requested is earlier than the current system date.
	Enter the time from which the clearance permit is extended in the edit box alongside (Time Format). If you leave this blank, the system assigns the current system time.

Note: Ensure that the date and time entered is not earlier than the current system date and time

Extended To	The date till which the clearance permit is extended (Date Format). Data entry in this field is mandatory
	If you wish to extend the clearance permit
	If the date from which the extension of clearance permit is requested is earlier than the current system date.
	Enter the time till which the clearance permit is extended in the edit box alongside (Time Format). The system displays by default, the time from which extension is requested, if it is earlier than the current system time. If it is not earlier, the system displays by default the current system time.

Note: Ensure that the date and time entered in the “Extended To” field is later than the date and time entered in the “Permit Extended From” field.

The system displays the following fields:

Valid From	The date from which the clearance permit is valid.
	The time from which the clearance permit is valid is displayed alongside.
To	The date till which the clearance permit is valid.
	The time till which the clearance permit is valid is displayed alongside.
Ref. Doc. Type	Indicates the type of the document based on which the clearance permit is created. The system displays any one of the following:
	Work Order – If the clearance permit was created based on a work order.
	Insp. Order – If the clearance permit was created based on an inspection order.
	Calib. Order – If the clearance permit was created based on a calibration order.
	Clearance Request – If the clearance permit was created based on a clearance request.
Ref. Doc. No.	The identifier of the reference document based on which the clearance permit was created
Approved By	The login ID of the user who approved the clearance permit.

Enter the following fields in the “Extension Requested By” field:

Employee	Click this radio button and enter in the edit box alongside, the ID of the employee who has extended the clearance permit (Alphanumeric, 30). Ensure that the employee is already defined in the “Employee Information” business component of Ramco Human Resources Management Solutions and is in the “Current” status.
	Help facility available
Contractor	Click this radio button and enter in the edit box alongside the ID of the contractor who has extended the clearance permit (Alphanumeric, 30).
Extended By	The login ID of the user who extended the clearance permit (Alphanumeric, 10). Data entry in this field is mandatory if you wish to extend the clearance permit. Ensure that the employee has already been defined in the “Employee Information” business component of Ramco Human Resources Management Solutions and is in the “Current” status.
Reason For Ext.	The reason for which the clearance permit is extended (Alphanumeric, 150)

The system displays the details of the previous extensions that have been made for the clearance permit in the “Extension History” multiline:

Extended From	The date from which the clearance permit was extended.
Time	The time from which the clearance permit was extended.
Extended To	The date till which the clearance permit was extended.
Time	The time till which the clearance permit was extended.
Extension No.	The number of extensions that has been done.
Ext. Requested By	The login ID of the user who requested the extension.
Contractor	The contractor who requested the extension.
Extended By	The login ID of the user who extended the clearance permit.
Name	The name of the user who has extended the clearance permit.
Reason For Extension	The reason for which the clearance permit was extended.
Ext. Requested From Date	The date from which the extension is requested.
Time	The time from which the extension is requested.
Ext. Requested To Date	The date till which the extension is requested.
Time	The time till which the extension is requested.
Contractor	The contractor who requested extension of the clearance permit
Permit Holder	The login ID of the user who held the clearance permit while requesting the extension of clearance permit.
Name	The name of the permit holder.
Reason For Ext. Request	The reason for which the extension is requested.

Click the “Extend Permit” pushbutton to extend the clearance permit.

The system does the following:

Extends the clearance permit based on the number of extensions allowed in the “Option Settings” activity.
Extends the clearance permit and sets the status as “Extended”.
Stores the loginID of the user who extended the clearance permit along with the date and time of extension.
Saves the details along with an extension number in the extension history.
Click the “Reject” pushbutton to reject the clearance permit.

Note: The system rejects the extension of the clearance permit and sets the status of the clearance permit as “ExtRejected”. The system also stores the login ID of the user who rejected the extension along with the date and time at which the clearance permit was rejected.

The system displays the following fields in the “Record Statistics” group box:

Created By	The login ID of the user who created the clearance permit.
Created Date	The date and time at which the user created the clearance permit.
Last Modified By	The login ID of the user who extended or rejected the clearance permit.
Last Modified Date	The date and time at which the clearance permit was extended or rejected.

Extending clearance permit – An overview

This page allows you to extend a clearance permit. You can extend a clearance permit that is selected in the previous page. You can also enter a clearance permit in this page and extend it. You can extend a clearance permit that is in the “WaitForExt” status. If the “Allow Permit Extension Without Extn” field is set as “Yes” in the “Option Setting” activity, the system allows you to extend a clearance permit that is in the “Approved” status.

You can extend a clearance permit by entering the period for which the permit is extended, the employee or contractor who has requested the extension of the permit as well as the employee who has extended the permit and the reason for extending the permit.

You can extend the permit or reject the extension. The system extends the permit and changes the status of the permit to “Extended” and records the details of the extension done to the extension history. On rejection of the permit, the system changes the status of the permit to “ExtRejected”.

The system also stores the login ID of the user who extended the permit along with the date and time of extending the permit.
