This page allows you to close a clearance permit. Tell me more.
Select the “Close Clearance Permit” link from the “Select Clearance Permit” page. Alternatively, select the hyperlinked clearance permit from the multiline of the same page.
The “Close Clearance Permit” page appears.
Enter the following field if you wish to close a clearance permit other than the clearance permit selected in the previous page.

The clearance permit, which must be closed (Alphanumeric, 30). |

Press <Enter>. The system retrieves the details of the clearance permit. |
The system displays the following fields:

Status |
The status of the clearance permit, which can be “Returned”, “Approved” or “Extended”. |

Permit Valid From |
The date from which the clearance permit is valid. |

Ref. Doc. Type |
The document based on which the clearance permit has been issued. The system displays “Work Order”, “Calib Order”, “Insp. Order” and “Clearance Request”. |

The number of the document based on which the clearance permit has been issued. |

The date till which the clearance permit is valid. |

The type of the clearance permit. |

Enter the following fields in the “Permit Returned By” group box:

Employee |
Click this radio button and enter in the edit box alongside, the ID of the employee who has returned the clearance permit (Alphanumeric, 30). Ensure that the employee is already defined in the “Employee Information” business component of Ramco Human Resources Management Solutions and is in the “Current” status. This field cannot be modified if the permit is in the “Returned” status. |

The date on which the clearance permit was returned (Date Format). |

Note: Ensure that the date and time entered in this field is earlier than the current system date and time, and later than the date and time displayed in the “Permit Valid From” field.
The system retrieves the details of the activities that were performed as a part of the clearance in the “Activity Details” multiline.

Note: If the “Allow Closing Permit if Tags Issue & Recd mismatch” field in the “Options Settings” activity has been set as “No”, then the clearance permit would be closed only if the number of tags that have been removed is equal to the number of tags issued, which is displayed in the “Tags Issued” field.

The employee ID of the user who has removed the tags (Alphanumeric, 10). Ensure that the employee has already been defined in the “Employee Information” business component of Ramco Human Resources Management Solutions and is in the “Current” status. Help facility available. |

The system does the following:
Closes the clearance permit and sets the status of the clearance permit as “Closed”.
Stores the login ID of the user who has closed the clearance permit along with the date and time of closing the permit.
If the clearance permit is raised based on a clearance request and if the option for “Close Clearance Request Automatically” is set as “Yes” in the “Option Settings” activity,

the system checks if there are any clearance permits raised based on the clearance request and if they are in the “Closed”, “Cancelled”, “Rejected” or “ExtRejected” status. |

|
if they are in a “Closed”, “Canceled”, “Rejected” or “ExtRejected” status, the system closes the clearance request. |
|
|
sets the status of the clearance request to “Closed”. |
|
|
Stores the login ID of the user, and the date and time on which the clearance request is closed. |

Closing the clearance permit – An overview
This page allows you to close a clearance permit. You can close a permit that is selected from the previous page. You can also enter a clearance permit directly in this page and close it. You can close a permit by entering the following details:
The employee or the contractor who has returned the clearance permit.
The date and time at which the permit was returned.
The following details regarding the completion of the activities are recorded:
If the activity is a part of a tagout procedure, the number of tags that are removed on the successful completion of the maintenance work.
Note: You can enter the details of the tag removal for every activity in the lockout or tagout procedure, or for all the activities together.
The login ID of the employee who has removed the tags, the date and time of removal and any additional information about removing the tags.
Note: If you have set the option of “Allow Closing Permit if Tags Issue & Recd mismatch” field as “Yes” in the “Option Settings” activity, then it must be ensured that the number of tags that are removed equals the number of tags that have been issued on creation of the permit.
You can also close a clearance permit even if the work on the clearance permit is not completed yet. Such clearance permits will be saved with the status “Closed” and with an indication that it has been short closed.
The system closes the clearance permit and sets the status of the permit as “Closed”. If the clearance permit has been created based on a clearance request, the system also closes the clearance request provided that there are no clearance permits, which are in the “Fresh”, “Approved”, “WaitForExt” and “Extended” statuses, raised based on the clearance request. The automatic closure of clearance request can be done if the option “Close Clearance Request Automatically” is set in the “Option Settings” activity. The system also stores the login ID of the user who has closed the clearance permit along with the date and time of closing the permit.
