Basics of using Ramco Enterprise series web page

The “Customer” page appears.

      - Clicking this icon available near certain fields takes you to the help page of the respective field.

To create a new customer

Customer ID

A unique ID identifying the customer. (Alphanumeric, 18). Mandatory. This field can be a combination of alphabets and numbers, and cannot be left blank.

Customer Name

The name of the customer. (Alphanumeric, 40). Mandatory.

Status

Use the drop-down list box to specify the status. The combo is loaded with the values as “Active” or “Inactive”. The system displays “Active” by default on the launch of the page. Mandatory.

Customer Type

Use the drop-down list box to select the type of customer. The combo is loaded with the predefined values viz Internal and External.

Description

The description of the customer. (Alphanumeric, 255).

Payment Type

Use the drop-down list box to select the type of payment made to the customer. The combo is loaded with the values as defined in “Quick Codes” activity like (Cash, Credit, etc.).

Credit Term

The code indicating the credit term of the customer (Alphanumeric, 20).Mandatory.

Pay Term

The pay term assigned to the customer (Alphanumeric, 20). Mandatory. Pay term represents the terms and conditions pertaining to the payment for an order. The pay term code, validity dates of the pay term, and the schedule details for the Pay term is mentioned in the Pay Term masters in Purchase & Subcontracting component.

 

Currency

Use the drop-down list box to select the currency in which the customer is going to transact. Mandatory. The values in the drop-down list box are populated from the “Organization Setup-Currency Masters” business component.

Reason Code

The code identifying the reason for which the status has to be changed. (Alphanumeric, 20). This field is mandatory if the status is “Inactive”.

Reason Description

On enter of reason code, the system displays the description of the reason.

BR Validation Profile ID

The BR validation profile ID to be mapped to the customer. (Alphanumeric, 40).

Tab – General Information

Route No.

The route ID to be mapped with the customer. (Alphanumeric, 40). Mandatory.

Packing Bay

The area which is used to pack the customer material. (Alphanumeric, 40). This is retrieved from “Staging Master” activity.

Invoice Report Format

Use the drop-down list box to select the invoice report format to be mapped to the customer.

LSP ID

The ID identifying the Logistics Service Provider (LSP), vendor who provides the logistics information. (Alphanumeric, 16).

LSP Name

The name of the LSP displayed on fetching LSP ID (Alphanumeric, 60). Display only.

LSP Email ID

The email ID of the LSP. (Alphanumeric, 40).If this is not retrieved from LSP ID, user can enter here.

Tab – General

Address Line 1

The first line address of the customer. (Alphanumeric, 40). Mandatory

Address Line 2

The second line address of the customer. (Alphanumeric, 40). 

Address Line 3

The third line address of the customer. (Alphanumeric, 40). 

Postal Code              

The postal code of the address in which the customer resides. (Alphanumeric, 40). Mandatory

Sub Zone

The subzone in which the customer resides. (Alphanumeric, 40). 

City

The system defaults the city name based on the entered postal code. (Alphanumeric, 40). Mandatory

Zone

The zone in which the customer resides. (Alphanumeric, 40). 

State

The system defaults the state name based on the entered postal code (Alphanumeric, 40). Mandatory

Region

The region in which the customer resides. (Alphanumeric, 40).

Country

The system defaults the country name based on the entered postal code. (Alphanumeric, 40). Mandatory

Latitude

Indicates the latitude of the location where the customer resides. The value limit is +/- 90. (Alphanumeric, 40). Mandatory

Longitude

Indicates the longitude of the location where the customer resides. The value limit is +/- 180. (Alphanumeric, 40). Mandatory

Geo Fence Range

The range to set predefined geographic boundaries.

Use the drop-down list box to specify the units of geo fence.

Geo Fence Name

The name of the geo fence.

Time Zone

Use the drop-down list box to select the working time zone of the customer. The combo is preloaded during configuration.

Contact Person

The name of the contact person of the customer. (Alphanumeric, 40).

Phone 1

The first phone number of the contact person. (Alphanumeric, 20). Mandatory

Phone 2

The second phone number of the contact person. (Alphanumeric, 20).

Fax

The fax number of the contact person. (Alphanumeric, 20).

Email

The email ID of the contact person. (Alphanumeric, 20).

URL

The referral URL of the contact person. (Alphanumeric, 20).

Same as Customer Address

Select the checkbox if the billing address is same as the customer address. On checking this field, the customer address is populated in Billing details.

Address Line 1

The first line billing address of the customer. (Alphanumeric, 40). Mandatory

Address Line 2

The second line billing address of the customer. (Alphanumeric, 40). 

Address Line 3

The third line billing address of the customer. (Alphanumeric, 40). 

Postal Code              

The postal code of the billing address in which the customer resides. (Alphanumeric, 40). Mandatory

Sub Zone

The subzone of the billing address. (Alphanumeric, 40). 

City

The system defaults the city name based on the entered postal code. (Alphanumeric, 40). Mandatory

Zone

The name of the zone. (Alphanumeric, 40). 

State

The system defaults the state name based on the entered postal code. (Alphanumeric, 40). Mandatory

Region

The region of the billing address. (Alphanumeric, 40).

Country

The system defaults the country name based on the entered postal code. (Alphanumeric, 40). Mandatory

Contact Person

The name of the contact person of the billing address. (Alphanumeric, 40).

Phone

The phone number of the contact person in billing address. (Alphanumeric, 20). Mandatory

Fax

The fax number of the contact person in billing address. (Alphanumeric, 20).

Undelivered To

Use the drop-down list box to select the required option if the shipment is undelivered. The combo is loaded with the following values “Ask Me”, “Address”, “Dispose” and “Ship From”. Mandatory.

  • Ask Me - If Ask Me is opted, during Booking Request the Return Order will be generated with “From” as where the consignment is (this can be identified from the hub) and “To” as blank. User should contact the customer and fill the “To” field in Return Order, only then this return order will flow through rule filter and will be converted as order for execution.

  • Ship from -If Ship from is opted an automated .Return Order will be generated with “Ship From” as where the consignment is (this can be identified from order document) and “To” as 'Ship from' from the original BR. The original TM order and customer reference is retained.

  • Address - If Address is opted, Return Order will be generated with “From” as where the consignment is (this can be identified from Hub) and “To” as the address given in Customer Master field of “Return if undelivered address.

  • Dispose - If Dispose is opted in Default Return To field; THU will be retained in the hub marked as “for disposal”.

Same as Customer Address

Select the checkbox if the returning address is same as the customer address.

Address Line 1

The first line of the return address. (Alphanumeric, 40). Mandatory

Address Line 2

The second line of the return address. (Alphanumeric, 40). 

Address Line 3

The third line of the return address. (Alphanumeric, 40). 

Postal Code              

The postal code of the return address. (Alphanumeric, 40). Mandatory

Sub Zone

The subzone of the return address. (Alphanumeric, 40). 

City

The system defaults the city name based on the entered postal code. (Alphanumeric, 40). Mandatory

Zone

The name of the zone. (Alphanumeric, 40). 

State

The system defaults the state name based on the entered postal code. (Alphanumeric, 40). Mandatory

Region

The region of the return address. (Alphanumeric, 40).

Country

The system defaults the country name based on the entered postal code. (Alphanumeric, 40). Mandatory

Contact Person

The name of the contact person of the return address. (Alphanumeric, 40).

Phone

The phone number of the contact person in return address. (Alphanumeric, 20). Mandatory

Fax

The fax number of the contact person in return address. (Alphanumeric, 20).

Tab – Geo Info

Geo Type

Use the drop-down list box to select the type to be mapped to the customer. The combo is loaded with the values “Division” and “Location”. (Alphanumeric, 40). 

Location/Division

The ID identifying the location or division to be mapped to the customer. (Alphanumeric, 40). 

Description

On enter of ID, the system displays the description of location or division. (Alphanumeric, 150). 

Tab – Consignor Details

Consignor ID

The ID identifying the consignor to be mapped to the customer. (Alphanumeric, 18). 

Name

On enter of Consignor ID, the system displays the name of the consignor. (Alphanumeric, 255). 

Tab – Operating Hours

The system displays the following in the “Operating Hours” multiline:

Day

The weekdays are defaulted. Ex. Monday, Tuesday, Wednesday, Thursday, Friday, Saturday and Sunday.

From Time

The start time of the period to define the operating hours of the customer. This field is mandatory if the “To Time” is specified.

Ensure that the “From Time” must be greater than the “To Time’, else the system throws an error message. (Time format)

To Time

The end time of the period to define the operating hours of the customer. This field is mandatory if the “From Time” is specified. (Time format).

Holidays

The list of public holidays applicable to their city or region. For example: Independence Day. (Alphanumeric, 100).

Date

The date on which the holiday falls in the year. (Date format).

Day

The day on which the holiday falls in the year.

Tab – Tax Details

Type                            

Use the drop-down list to specify the tax type applicable to the customer, pertaining to the region It can be “GST”, “”, “SER”, “a “VAT” etc Mandatory.

Community

Use the drop-down list to specify the community of the tax that administers the tax rules. Mandatory.

Option

Use the drop-down list to specify the option. It can be “Inclusive” or “Exclusive”. Exclusive is defaulted. Mandatory.

Region Type              

Use the drop-down list to specify the type of the region. It can be “Circle” or “Country” or “Factory” or “State” or “Ward”. (Alphanumeric, 40). Mandatory.

Region

The code identifying the region where the tax declaration has to be made. (Alphanumeric, 40). Mandatory.

Registration No.

The number identifying the registration of the tax. In case of countries of European Union for Tax Registration Number, a predefined Pattern has to be followed. Sample table is given below. (Alphanumeric, 40). Mandatory.

Category

Use the drop-down list to specify the category of the tax. Tax category identifies the different types of business or trade transactions to indicate the applicability of Tax. Example: National Purchase. Mandatory.

The system displays “TRD” by default on the launch of the page.

Class

A tax class identifies the sub-transaction type for reporting purposes and is specified by the government. A transaction, say, a national purchase can be involving goods, services, investments etc. This is identified using the Tax class.

Use the drop-down list to enter the tax class details. Mandatory.

Default

Use the drop-down list to specify the default values. It can be “Yes” or “No”. The system displays “No” by default if for a particular customer code the corresponding tax details are not available for the tax type. Mandatory.

Rates Applicable

Use the drop-down list box to select the applicable tax rates. It can be “Exempt” or “Normal” or “Variable”. Mandatory.

Code

The code identifying the tax. (Alphanumeric, 40). Mandatory.

Special Rate

A special rate offered to a supplier. The tax is calculated based on this rate. (Alphanumeric, 40). 

Certification No.

The unique number identifying the certificate. (Alphanumeric, 40).

Place of Issue

The place where the certificate was issued. (Alphanumeric, 40).

Issue Date

The date on which the certificate was issued. (Date Format)

Valid Upto Date

The validity of the certificate. The date till which the certificate is valid. (Date Format)

Assessee Type

Use the drop-down list to specify the type of the assessee. It can be “Registered”, “Turnover Tax Dealer” or “Unregistered”. The system displays “Registered” by default on launch of the page. (Alphanumeric, 40). Mandatory.

Remarks

Remarks, if any. (Alphanumeric, 60).

Note: At least one row should be selected in the multiline.

On save, the system generates a customer ID and the status is updated as “Active”.

To modify an existing customer details

The following details are displayed in the multiline:

Customer ID

The unique ID that identifies the customer.

Customer Name

The name of the customer.

The system displays the corresponding customer details in the right hand side header and tabs. You can modify the required fields.

The system displays the following in the “Data History” group box:          

Created By

The login ID of the user who created the customer details. The date and time at which the customer details was created.

Modified By

The login ID of the user who modified the customer details. The date and time at which the customer details was last modified.

Tax Type = VAT and Tax Community = European Union.
