This activity allows you to record the receipt details relating to a loan by generating a sundry receipt.

The “Maintain Loan Receipts” page appears.

Receipt No.

A unique number identifying the Loan receipt number in the system.

Help facility available.

Numbering Type

Use the drop-down list box to select the numbering type for the login organization unit and the “Maintain Loan Receipts” transaction type. The numbering types must have already been defined in the “Create Numbering Class” activity of the “Document Numbering Class” business component and must be in “Active” status. The system displays the numbering type set as default for the transaction in the “Document Numbering Class” business component.

Status

The status of the Loan Receipt number will be displayed here.

Receipt Date

The date of receipt of loan will be entered here. Mandatory.

Loan No

The loan number created in the “Maintain Loan Details” activity will be entered.

Loan Description

A textual description of the loan.

Project code

The project code assigned to the loan number will be displayed here.

Project name

The description of the project code assigned to the loan number will be displayed here.

Finance Book

The finance book to which the loan number related transactions are posted will be displayed here.

Currency

The loan currency will be displayed here

Exchange Rate

The exchange rate of the loan currency booked at the time of creating the loan details will be displayed here. The exchange rates for the currency specified must have been defined in the exchange rate master.

Receipt Mode

Use the drop-down list box to select the mode in which the receipt was received. You can select from “Check”, “Credit Card”, “Demand Draft”,  "Others" or “Pay Order”. The system displays “Check” by default.

Receipt Amount

The amount of the sundry receipt (Decimal). Mandatory. The amount must be greater than zero.

Bank Code

Use the drop-down list box to select the code identifying the bank and cash accounts. All the bank codes that have been defined in the “Create Bank / Cash Details” activity of the “Bank / Cash Definition” business component and that have been set to receive sundry receipts will be available for selection in the ascending order.

Loan Account

The Principal account code defined for the loan number under “Maintain Loan Parameters” activity will be displayed here.

Cost Center

The code identifying the cost center to which the loan account is mapped (Alphanumeric, 10). The cost center must have been defined in the “Cost Setup” business component.

Analysis Code

The analysis code to which the loan account is mapped in the “Account Based Budgeting” business component (Alphanumeric, 5).

Sub Analysis Code

The sub analysis code which is mapped to the analysis code specified.

Exchange Rate

The exchange rate of the currency in which the receipt is made should be entered here.

The system displays the exchange rate present in the exchange rate master for the respective currency by default on selection of the bank code.

Remarks

Any remarks about the loan receipt can be captured here (Alphanumeric, 255).

The system displays the following fields in “Accounting Information” group box: 

Account Code

If the loan amount received is through “Loan Category” – “commercial papers”, the contra account code for the prepaid expenses account code will be displayed here.

Account Description

The description of the contra account code, if the loan amount received is through “Loan Category” – “commercial papers” will be displayed here.

Prepaid Interest

The amount of interest deducted if the loan amount received is through “Loan Category” – “commercial papers”.

Bank No.

The description of the bank name in which the check for the loan amount is received (Alphanumeric, 40).

This filed is mandatory if the Receipt Mode selected is “Check”.

MICR No.

Indicates the Magnetic Instrument Clearing Number available in the check, demand draft or pay order (Alphanumeric, 30).

Instrument Type

Use the drop down list box to select the Instrument type for the Receipt Mode - Check. "At par", "Local", and "Outstation" will be available for selection. Blank will be defaulted on launch of the page.

Instrument No.

The number identifying the instrument (Alphanumeric, 30).

Instrument Date

The date of the instrument (Date Format). The date must be valid date in an open financial year.

Note: This field must not be left blank if the receipt mode is “Check”, “Demand Draft” or “Pay    Order”.

The system displays the following fields in the “Receipt Voucher” group box:       

Sundry Receipt No.

The sundry receipt voucher number getting generated based on the numbering type selected.

Numbering Type

Use the drop-down list box to select the numbering type for the login organization unit and the “Sundry Receipt” transaction type. The numbering types must have already been defined in the “Create Numbering Class” activity of the “Document Numbering Class” business component and must be in “Active” status. The system displays the numbering type set as default for the transaction in the “Document Numbering Class” business component.

The status of the loan receipt number gets updated as “Fresh” on click of “Save” button

The status of the loan receipt gets updated as “Authorized” on click of “Authorize” push button

An automatic sundry receipt voucher gets generated for the details entered.

The status of the loan receipt gets updated as “Deleted” on click of “Delete” push button.

The system updates the login id of the user under “Created By” field and the Created date on click of “Save” push button for the first time.

The system updates the “Last Modified By” and “Last Modified Date” details on updating the existing details.

Prerequisites

4   Loan No must be created in the “Maintain Loan Details” activity of the “Loan Transaction” business component

4   Account codes, cost centers, analysis codes and sub-analysis codes must be defined.

4   Bank codes must be defined in the “Create Bank Details” activity of the “Bank Cash Definition” business component

4   Account Rule Definition must be done for the bank codes created.

4   Numbering Type must be defined in the “Create Numbering Type” activty of the “Numbering Class” business component
