Promotional Billing
When billing needs to be prepared without properties/location/tags defined, promotional billing activity can be used. User needs to provide the scheme code, customer code, date from/to & the bill amount. Bill date & due date provided will flow to the invoice getting generated at the time of authorization.
The ‘Show previous balance’ checkbox will be used at the time of printing the promotion details. The outstanding amount for the customer prior to the current promotion will be displayed in promotional invoices.
Based on the frequency, user can generate the invoice.
Select the “Promotional Billing” activity under the “Leasing” business component.
The “Promotional Billing” page appears.
Note: Clicking this icon available near certain
fields takes you to the help page of the respective field.
Enter the following in the “Filter Criteria” group box:
Promotional ID |
A unique code identifying the promotional bill. |
Description |
The detailed description of the promotional billing. |
Status |
The status of the Promotional ID. (Display Only). The status can be Fresh /Active/Deleted. |
Scheme Code |
A unique code identifying the scheme. Scheme must be of type of Malls / Corporate. |
Scheme Name |
The name of the scheme. (Display Only) |
Customer Code |
A unique code identifying the customer. |
Customer Name |
The name of the customer. (Display Only) |
Address ID |
The address id of the customer. |
Brand Code |
A unique code identifying the brand. |
Brand Description |
The detailed description of the brand. (Display Only). |
From Date |
The starting date range from which you wish to generate the invoice. |
To Date |
The ending date range until which you wish to generate the invoice. |
Bill Date |
The date specified on the bill. |
Due Date |
The date on which the bill amount is due. |
Usage ID |
The code identifying the usage id. The revenue account code for the invoice is being derived based on this Usage ID. |
Bill Amount |
The amount specified in the bill. |
Remarks |
Any remarks pertaining to the bill. |
Purpose |
Use the list edit box to select the purpose of the promotion. The list edit is loaded with “Leasing” and “Service Billing”. |
Finance Book |
The finance book of the scheme for the chosen purpose. The finance book is displayed based on the Scheme- Purpose combination (Display Only) |
Note: When purpose is ‘Leasing’, finance book is derived from scheme master and when purpose is ‘Service billing’, finance book is derived from ‘Billing Setup’ of IMS Service Master component.
Frequency |
Use the drop-down list box to select the frequency. The system displays “Blank” by default on launch of the page. The combo is loaded with “Monthly”, “Bi –Monthly”, “Quarterly”, “Half yearly” and “Yearly”. |
Note: When the Frequency is set as Blank, the invoice gets generated at the time of authorization of promotion bill. When frequency is any value other than Blank, invoice generation has to be done from ‘Generate bill’ activity under ‘Lease’ component by choosing the appropriate period [i.e. the period should lie/include the date from/to provided here].
Code |
Use the list exit box to select the service type code. You can either type in the first character or first few characters, the list edit opens up with the similar codes from which you can select the required. The combo is loaded with all the Bill types. |
Note: When the purpose is ‘Service billing’, you can choose the bill type from the Code combo and that Bill Type will be used for invoice generation. When purpose is ‘Leasing’, the bill type will always be passed as ‘Rent’.
Show Previous Balance |
Select this check box to view the outstanding amount against the customer in promotional invoices raised prior to the current promotion. |
Click the “Save” pushbutton to save the details.
The system generates the Promotional Bill in “Fresh” status.
Promotional ID Generation Logic
Scheme Code/Month of From Date/Year of From Date/Running Serial Number

Click the “Authorize” pushbutton to authorize the bill.
The system updates the Promotional Bill status as “Active”.
Note: The system generates a Debit invoice in Authorized status.
Click the “Delete” pushbutton to delete the bill details.
Note: Only “Fresh” status of the Promotional Bill ID can be deleted.
Click the “Print” pushbutton to print the details.
The system generates the Invoice report.
Note: Report can be generated for an Active Promotion Id. If Show previous balance check box is checked. The previous balance pending against the customer will be printed in the report.
