This activity allows you to specify substitute items for the input items of Item Type ‘Raw Material’ and ‘Intermediates’ used in formulae. You can define the substitute item details for each item. This facility will be used when an item used in a formula is not available. Substitute items are valid items existing in the inventory. These substitute items must have already been defined in the “Maintain Item Substitutes” activity of the “Item Administration” business component as a substitute item for the Formula input item.

The substitutes may be defined at the formula or default level. The default level defines the substitute items across all formulae, whereas the formula level is restricted to specific formulae.

You can also specify the order in which an item can be substituted by another item. This activity allows you to specify the priority for this purpose. Priority is assigned to the substitute items in the form of numbers. In case of non-availability of an item, an item with the highest priority will be substituted for that item. If the highest priority substitute is not available, the item with the next least priority will be used in its place. If the Item with least priority is not available, then the item with the next lower priority will be substituted. This process continues till a substitute item is obtained.

Item Code

The code identifying the item for which you wish to define substitute items (Alphanumeric, 32). Mandatory. Ensure that this code is already defined in the “Item Administration” business component.

Variant

The variant of the input item (Alphanumeric, 08). Ensure that this code is already defined in the “Item Administration” business component.

The system displays the following:

Description

The textual description of the item variant.

Definition Level

Use the drop-down list box to specify the definition level for the substitute item. The system lists the following levels:

  • Default – indicates that the substitute items can be used across formulae.

  • Formula – indicates that the substitute item must be used only for the specified formula. It is mandatory to specify the “Formula” and “Version”, if this level is chosen.

The system displays “Default” by default.

Formula

The code identifying the formula for which you wish to update the substitute item and must be in “Active” or “Inactive” status (Alphanumeric, 12).

Version

The version number of the formula (Alphanumeric, 10). 

The system displays the following:

Description

The textual description of the Formula-version.

Quantity

The required quantity of the input item (Integer).

UOM

The unit of measurement in which the item is measured.

Note: Quantity can be in fractions only if the UOM has been set as “Fractions Allowed” in the “Create UOM” activity of the “UOM Administration” business component.

Item Substitute

The code identifying the item, which can be fitted in the place of requested item, if the requested item is not available (Alphanumeric, 32).

Ensure that this code has already been defined in the “Maintain Item Substitutes” activity of the “Item Administration” business component.

Description

The textual description of the item variant.

Quantity

The quantity of the item to be updated (Integer).

UOM

The unit of measurement in which the item is measured.

Priority

The order of preference accorded to the substitute items (Integer). The requested item will be alternated based on the preference. The priority starts with 1 and then increases. The priority is based on ascending order (i.e.) 1 is accorded the highest priority. Two substitute item-variants cannot have the same priority.
