Using Online Help

The “Maintain Proposal Cost Sheet” page appears.

Note: Help Icon Clicking this icon available near certain fields takes you to the help page of the respective field.

Proposal ID

The number identifying the proposal which may be transformed to a project.

Proposal Date

The proposal date.

Revision No.

The modification number of the proposal.

Title

Brief description of the proposal. This becomes the project name if the proposal is later on transformed to a project.

Customer Code

The code identifying the customer for whom the proposal is being made.

The system displays the following in the header:

Customer Name

The name of the customer.

Project Definition For

Use the drop-down list box to specify the project definition. The options are:

  • Generic: The general projects.

  • Construction: The real estate projects.

The system displays “Generic” by default on launch of the page.

Project Type

Use the drop-down list box to specify the type of the project. The options are:”Billable” and “Non Billable”. The system displays “Billable” by default on launch of the page.

Project Category

Use the drop-down list box to specify the category of the project. The options are “Big”, “Medium” and “Small”. The system displays “Big” by default on launch of the page.

Project Classification

Use the drop-down list box to specify the classification of the project. The options are “External” and “Internal”. The system displays “External” by default on launch of the page.

Project Currency

Use the drop-down list box to select the proposal currency to be used in the project. The combo is loaded with all the company currencies.

Ref. Doc.

The reference document of the project, if any.

Duration in Months

The estimated number of months for the execution of the project when the proposal is converted to a project.

Estimated Start Date

The estimated start date of the project.

Estimated End Date

The estimated end date of the execution of the project.

Priority

Use the drop-down list box to specify the priority for the project. The combo is loaded with the values from “Maintain Codes” activity. The system displays “Blank” by default on launch of the page.

Sub-Classification

Use the drop-down list box to specify the sub-classification for the project. The combo is loaded with the values from “Maintain Codes” activity. The system displays “Blank” by default on launch of the page.

Pay Term

The code pertaining to the payment terms associated to this proposal.

Remarks

Any other additional details regarding the project.

Reason Code

The unique code identifying the reason for amending the proposal. Mandatory when amending the proposal.

The system displays the following in the header:

Reason Description

The description of the reason code.

Opportunity ID

A unique code identifying the proposals opportunity details.

The system displays the following in the header.

Quotation No

A unique number identifying the quotation no, which is generated on the ‘Generate Quotation’ button.

 

Address 1

The first address line of the customer.

Address 2

The second address line of the customer.

City

The city in which the customer resides in.

State ID

The unique code identifying the state in which customer resides in.

ISO Country Code

The ISO Country Code of the country.

Zip

The zip code of the country.

The system displays the following details in the “Address Details” group box:

State Desc.

The detailed name of the state.

Country Desc.

The detailed name of the country.

Zip

The zip code of the country.

Date of Bid Submission

The actual date of the bid submission.

End Date of Submission

The last day of bid submission.

Expected Order Release Date

The anticipated release date of the order.

Date of Receipt

The actual date of the receipt.

Planned Date of Submission

The planned date for the submission of receipt.

Probability of Success

The chance of success of the bid.

LD Clause Applicable

Use the drop-down list box to specify whether the liquidated damages clause is applicable to the project. The options are “Yes” and “No”. The system displays “Yes” by default on launch of the page.

Performance BG Amount

The performance bank guarantee amount applicable for the proposal.

Probability Of Success

Indicates the project’s chances of success.

Retention Amount

A portion of periodic payment being held for the completion of work. After the acceptance of work, the amount is held for a specific time period by the architect and the owner / payee.

Tender No.

A unique number identifying the tender.

Security Amount

Indicates the proposal’s surety amount.

Overhead %

Indicates the overhead percentage of the materials.

Expected Value

The expected value of the proposal.

Expected Margin %

The expected percentage of the proposal.

Note: Either Expected Value or Expected % should be entered.

Example:

For Expected %

• Click Re compute action

• Specify the Proposed Amount

• The system displays the Expected Value as sum of the multiline proposed amount.

For Proposed Amount and Expected %

• Click the Re Compute action

• Apply the Expected % for the lines which has non zero cost

• Click the Maintain action.

• The system displays the Expected value as sum of the multiline proposed amount

For the Proposed Amount

• Specify the Proposed Amount

• Specify the Expected Value

• Click the Re compute action

• Derive the Expected % (Expected Value – The Proposed Amount)

The system displays the following in the “Value Summary” group box:

Material Cost

The material cost required for execution of the project estimated at the time of proposal submission.

Resource Cost

The resource cost required for execution of the project estimated at the time of proposal submission.

Total Cost

The overall cost of the project.

Total Proposal Value

The overall worth of the proposal.

Proposal Margin %

The profit scope of the proposal.

Total Taxes/Charges

The total tax / charge applicable for the proposal.

Total Discount

The total discount applicable for the proposal.

Total Proposal Value (Inclusive of TCD’s)

The total proposal value inclusive of the taxes/charges/discount.

Note: On providing Expected %, Expected Value is derived and is applied for all the delivery lines.

Proposal Delivery Details

This tab is displayed by default on launch of the page.

The system displays the following in the “Proposal Delivery Details” tab:

Line No.

The number identifying delivery line no of the proposal.

Customer Product Code

The item code used by the customer.

Item Code

The Item code used by the application. Implies a delivery line item of the proposal.

The system displays the following in the “Proposal Delivery Details” tab:

Item Type

The category of the specified item code.

Item Description

The description of the specified item code.

Variant Code

The item’s variant code.

Required Quantity

The requisite quantity of the item that needs to be delivered.

UOM

The unit of measurement of the item.

The system displays the following in the “Proposal Delivery Details” tab:

Cost

The estimated cost incurred to deliver the line item of the proposal.

Note: The system displays the “Cost” details when the login user is granted with Proposal with Cost access.

Line Level Margin %

The line level margin percentage.

Proposed Amount

The projected value of the delivery line item of the proposal which can be communicated to the customer.

Note: Proposed Amount can be specified when the estimated cost incurred to deliver the lime item is zero.

Note: The system displays the “Proposed Amount” details when the login user is granted with Proposal with Cost access.

Required Date

The required date of delivery for the line item.

Ship To Add ID

The address Id of the customer to which the item should be delivered.

Remarks

Any additional information related to the delivery line item.

Contact Details

This tab is displayed by default on launch of the page.

Contact Person

The name of the person, who can provide detailed inputs regarding the proposal. The contact person can be either from the customers place or from the project execution organization.

Email

The electronic mail of the contact person.

Contact No.

The contact number of the contact person.

Mobile No.

The mobile number of the contact person.

Remarks

Any additional information of the contact person.

Stakeholder

This tab is displayed by default on launch of the page

Name

The name of the stakeholders related with the proposal.

Department

The department of the stakeholders related with the proposal.

Email

The electronic mail of the stakeholders.

Any additional information of the stakeholders.

Proposal Revision History

This tab is displayed by default on launch of the page.

Revision No.

The revision number of the proposal.

Revision Date

The date of revision of the proposal

Revision Reason

The reason for the revision of the proposal

Revision Reason Description

The description of the proposal revision reason.

Total Cost

The overall cost of the proposal for the said revision.

Total Proposal Value

The total value of the proposal for the said revision.

Proposal Margin %

The profit margin percentage of the proposal for the said revision.

Start Date

The start date of execution of the project as mentioned in the proposal.

End Date

The end date of execution of the project as mentioned in the proposal.

On creation, proposal is created in Draft status. Only after materials or resources are mapped to the proposal through tasks and estimated cost for execution of the proposal is greater than zero, the status of the proposal is changed to Fresh

The status of the proposal cost sheet is updated as “Approved”.

Note:

1. Only Fresh and Under Amendment proposals can be approved.

2. No Sales Quotation is generated automatically on approval of the proposal.

The status of the proposal cost sheet is updated as “Deleted”.

Note: Only Draft and Fresh proposals can be deleted.

The system updates the “Proposal” status as “Cancelled” and the “Sales Quotation” referring the proposal is converted to “Held” status.

Note:

1. Only proposals in Confirmed / Released status can be cancelled.

2. Proposal cannot be cancelled if the respective “Sales Quotation” is converted to “Sales Order”.

3. Proposals which have been converted to a project (status of the project should not be deleted) cannot be cancelled.

The status of the proposal cost sheet is updated as “Released”.

The sales quotation is generated for the “Confirmed” status of the proposal.

Note: Use the drop-down list box to select the Print Option. The combo is loaded with “Detail”, “Detail with Cost”, “Summary” and “Summary with Cost”. The displays the values based on the user access rights mapping.

The status of the proposal cost sheet is updated as “Under Amendment”. The system increments the amendment number in the Revision No. field.

Note: Only proposals in Confirmed / Released status can be amended.

To carry forward the revisions

The status of the proposal cost sheet is updated as “Under Amendment”. The system increments the amendment number in the Revision No. field.

To proceed, carry out the following

The system displays the following details in the “Data History” group box:

Created By

The login ID of the user who created the proposal cost sheet details.

Created Date

The date on which the proposal cost sheet details was created.

Last Modified By

The login ID of the user who last modified the proposal cost sheet details.

Last Modified Date

The date on which the proposal cost sheet details was last modified.
