Select the “Sub Lot Information” link at the bottom of the “Create And Authorize Opening Balance” page.
The “Maintain Sub Lot Information” page appears.
The system displays the following:

The status of the opening balance transaction. |

A unique number identifying the opening balance transaction. |

Transaction Date |
The date on which the opening balance transaction is created. |

Warehouse Code |
The unique code of the warehouse in which items are stored. |
Enter the following:

Line No. |
Use the drop-down list box to select the line number of the item to be stored in sub-lots. The system generates this number sequentially for every line containing an item code in the main page. All the line numbers of the items for which the “Sub Lot Applicable” field is set to “Yes” in the main page will be displayed here in ascending order. The system displays the first value from the list of values in ascending order by default. |

Item Code |
A unique code identifying the item stored in the warehouse. |

Variant code of the item. |

Item Variant Desc. |
A textual description of the item/variant. |

Qty. |
The number of units of the item that are lot controlled and have sub-lots defined under them. The sum of all the sub-lot quantities in the multiline must be equal to the quantity displayed in the header. Else, the system displays an error message. |

Zone |
The number identifying the zone in which items are stored in the warehouse. |
|
Bin |
The number identifying the bin in which items are stored in the zone. |
|
Lot No. |
The unique number identifying the lot in the warehouse. This lot is further divided into sub-lots. |
Enter the following in the “Sub Lot Information” multiline:

Sub Lot No. |
The unique number identifying the sub-lot in the warehouse. (Alphanumeric, 3). You can enter this number manually or leave it blank if you wish to generate the number on clicking the “Submit Sub Lot Information” pushbutton. |

Qty. |
The number of units of the item to be stored in the sub-lot. (Integer) Ensure that the value is greater than zero for atleast one of the items in the multiline. In addition, ensure that the quantity is greater than zero for the items for which you enter the sub lot number manually and also for items whose stock status is not chosen as blank. |

Stock Status |
Use the drop-down list box to select the stock status of the item to be stored in sub-lot. All the stock statuses defined for the “Opening Balance” transaction type in the “ Stock Status Definition” component and allowed for the warehouse will be displayed here. The system also displays “Blank” as one of the values. Ensure that the stock status is not chosen as blank for the items for which you enter the sub-lot number manually and also for items whose quantity is greater than zero. |
Check the box in the “Select” column of the multiline for creating serial number information, rate information and attaching notes.
Click the “Submit Sub Lot Information” pushbutton to save the sub-lot details.
The system saves the sub-lot details and generates the sub-lot number to be displayed in the multiline.
Click the “Submit And Authorize Opening Balance” pushbutton to create and authorize the opening balance transaction.
The system saves the sub-lot details, quantity and stock status.
The system sets the transaction status to “Authorized”.
To proceed, carry out the following
Select the “Serial No. Information” link at the bottom of the page to create serial number information.
Select the “Rate Information” link at the bottom of the page to create rate information.
Select the “Attach Notes” link at the bottom of the page to attach notes for the sub-lot.
Create Sub Lot Information – An Overview
In this page you can create information related to sub lots. Lots are used in used in process industries where the shift’s production is taken into stock as a lot. Sub-lots are child lots that are created under a lot. The items stored in lots can be further divided into sub-lots. Items with varying attribute values due to production inconsistencies can be stored in sub-lots. Also items that deteriorate with storage can be classified and assigned to sub-lots. A lot that is serially controlled cannot have sub-lots defined under it.
You can specify sub-lot number, the quantity of the item to be stored in the sub-lot and the stock status of the item. The user must have “Authorize” permissions on the opening balance
transaction to create sub-lot details. This page is launched only if atleast one of the items in the main page is stored in a lot that has sub-lots defined under it. In other words, the “Sub Lot Applicable” field must be set to “Yes” for at least one of the items in the multiline. Else, the system displays an error message when you click the “Create Sub Lot Information” link from the main page.
