Using online help

This activity allows you to record the site assessment details.  The site assessment conducted by the service provider person is recorded in this activity. The site details like the Premise Size, Area to be covered, No of Floors, No of Shifts, Working days in a week, Site Working hours and the requirement of equipment at the site are recorded. In the multiline, the Posts within the Site and the service item required at the site and the quantity required are maintained. Site assessment can also be carried out based on the customer lead or the quotation  request placed by the customer.

The “Site Assessment” page appears.

   - Clicking this icon available near certain fields takes you to the help page of the respective field.

In the header the mandatory fields are represented as bold and in the multiline the mandatory columns are either bold or displayed in a color other than black.

Site Assessment No

The code identifying the site assessment. This code is based on the Numbering Type selected in the “Numbering Type” combo.

Assessment Date

The date on which the site assessment was carried out.  The system date is displayed by default on launch of the page. This date cannot be earlier than the system date / RFQ date/ Opportunity date.

Numbering Type

Use the drop-down list box to specify the numbering type of the site assessment number.

Source OU

Use the drop-down list box to specify the OU of the company. The combo is loaded with all the OUs of the company. The system displays blank by default on launch of the page.

Note: Sales lead or RFQ can be raised in some centralized OU and Site assessment will be done at the relevant OU of the site.

Opportunity Number

The opportunity number based on which the site assessment is being carried out.

RFQ No

The RFQ number based on which the site assessment is being carried out.

Customer Code

The code identifying the customer for whom the service is to be provided .

Customer Name

The name of the customer.

Site ID

The address id  of the site.

The system displays the following:

Site Address

The address of the site.

Premises Size (Sq. Ft)

The area of the site in square feet..This value should be greater than zero.

Area to be Covered

The area to be covered under the service contract. This value should be greater than zero.

No. of Floors

The number of floors to be assessed in the site. This value should not be less than zero.

No. of Shift

The number of shifts at the site. This value should not be less than zero and cannot be greater than four.

Sensitivity

Use the drop-down list box to specify the sensitivity of the site. The combo is loaded with the values defined in the “Quick Codes” master.

Risk Assessment

The risk assessed at the site,if any.

Any Recommendation

Any recommendation regarding the risk assessed

Existing Service Provider

Use the drop-down list box to specify the existing service provider of the customer. The combo is loaded with values defined in the “Category” master for the Category Type – Competitor.

Conducted By

The employee code identifying the person who assessed the site.

The system displays the following:

Employee Name

The name of the employee who assessed the site.

Branch Manager Code

The employee code identifying the branch manager of the service provider.

The system displays the following:

Branch Manager Name

The name of the branch manager.

Zone Manager Code

The employee code identifying the zone manager of the service provider.

The system displays the following:

Zone Manager Name

The name of the zone manager.

Contact Person Name

The name of the contact person at the site.

Designation

The designation of the contact person.

Phone No.

The phone number of the contact person.

Equipment Required

Use the drop-down list box to specify whether equipments are required at the site. The combo is loaded with “Yes” and “No”. The system displays “No” by default on launch of the page.

Site Working Hours From

The start time of the working hours at the site.

To

The end time of the working hours at the site.

Working days in a Week

The number of working days in a week for the site.

Assessment From Time

The start time of the site assessment.

To

The end time of the site assessment.

Assessment Assisted By

The name  of the person at the customer side who assisted during the site assessment.

Designation

The designation of the person who assisted during the site assessment .

Reason Code

The code identifying the reason for cancellation. Mandatory during the cancellation of the site assessment.

The system displays the following:

Reason Description

The description of the reason code.

Post

A specific place  within the Site.

Item Code

The code identifying the item required at the post. This code should be active and of type – Service. Item code should exist in Active status in Product Master for any of the Type of service.

Variant Code

The variant code of the item.  Mandatory if the item has a variant code.

The system displays the following:

Item Description

The description of the item

Quantity

The required quantity of the item for the post  This value should be greater than zero.

UOM

The unit of measurement of the quantity.

Deployment Hours

The number of hours for which the item is deployed at the site. This value should be greater than zero and less than or equal to 24.

Days In A Week

The number days for which the item is required. This value should be greater than zero and less than or equal to 7.

Shift A

The required quantity of the item for the Shift A.

Shift B

The required quantity of the item for the Shift B.

Shift C

The required quantity of the item for the Shift C.

Shift G (General)

The required quantity of the item for the Shift G.

Note: The values in Shift A, Shift B, Shift C and Shift G can be zero or greater than zero. Quantity = Shift A + Shift B + Shift C + Shift G.

Remarks

Any remarks regarding the post and the item required.

The system generates the Site Assessment number based on the numbering type selected in Fresh status. If the RFQ or Opportunity ID is not referred, then the system generates any no. of   site assessment number in Fresh status for Customer Code – Site ID combination.

If the RFQ or Opportunity ID is referred, then the system allows generates only one site assessment number in Fresh status for Customer Code – Site ID combination.

The system authorizes the site assessment number and the status is updated as “Authorized”. Only Site Assessment number in “Fresh” status can be authorized.

The system deletes the site assessment number and the status is updated as “Deleted”. Only Site Assessment number in “Fresh” status can be deleted.

The system cancels the site assessment number and the status is updated as “Cancelled”. Only Site Assessment number in “Authorized” status can be cancelled. The reason for cancelling the site assessment number should be provided.

Created By

The name of the login user who recorded the site assessment details.

Created Date

The date on which the site assessment details was recorded.

Modified By

The name of the login user who modified the site assessment details.

Modified Date

The date on which the site assessment details was modified.
