Basics of using Ramco Enterprise Series webpage

Using Online Help

This activity allows you to create the Gate Operation Number to record arrival and in/out movements of vehicles at various gates in the factory/site. You can also capture the gross weight of the vehicle on arrival and departure. You can specify the Reference Document Type and the Reference Document Number details in the Gate Operation Details group box. You can specify the Vehicle Arrived From, Purpose, Vehicle Arrived Date and Time details in the Vehicle Arrival Reporting group box. You can specify the Gate In Time, Gate in Date in the Gate-In group box. You can specify the destination place, Gate out Time and Gate out Date in the Gate-Out group box. You can search and transfer the existing Gate Operation Number for modifying the details.

The “Gate Operations” page appears.

Note:  Clicking this icon available near certain fields takes you to the help page of the respective field.

Mode

Use the drop-down list box to select the Mode to create or modify the Gate Operation details. The combo is loaded with “Create New” and “Search Existing”. The system displays “Search Existing” by default on launch of the page.

When the Mode is “Search Criteria”

Gate Operation No From

The starting range of the gate operation number from which you wish to search and transfer the details.

Gate Operation No To

The ending range of the gate operation number until which you wish to search and transfer the details.

VAR Date

The date on which the vehicle arrived at the location for which you wish to search and transfer the details.

Gate In Date

The date on which the vehicle arrived at the gate of the location for which you wish to search and transfer the details.

Gate Out Date

The date on which the vehicle left the gate for which you wish to search and transfer the details.

Vehicle No.

A unique number identifying the vehicle number for which you wish to search and transfer the details.

Vehicle Type

Use the drop-down list box to select the vehicle type for specifying the gate operation details. The combo is loaded with all the values defined in the “Maintain Code” activity. The system displays “Blank” by default on launch of the page.

Vehicle Owner

The owner of the vehicle for whom you wish to search and transfer the details.

Ref Doc Type

Use the drop-down list box to select the reference document for specifying the gate operation details. The combo is loaded with “Blank” and “Trip No.” The system displays “Blank” by default on launch of the page.

Ref Doc No.

A unique number identifying the reference document number for which you wish to search and transfer the details.

Based on the search criteria, the system retrieves and displays the details in the “Search Results” multiline.

Gate Operation No.

A unique number identifying the gate operation number.

VAR Date

The date on which the vehicle arrived at the factory.

Gate In Date

The date on which the vehicle entered the factory gate.

Gate Out Date

The date on which the vehicle left the factory gate.

Vehicle No.

A unique number identifying the vehicle number.

Vehicle Type

The vehicle type which arrived at the factory.

Vehicle Owner

The owner of the vehicle.

Ref Doc Type

The reference document type of the vehicle. The reference document type can be “Trip No”.

Ref Doc No.

A unique number identifying the reference document number.

Status

The status of the gate operation number. The status can be “Fresh” or “Vehicle Arrived” or “Vehicle Gated In” “Vehicle Departed” or “Deleted”.

The system collapses the Search Criteria group box and displays the selected gate operation number details in the Gate Operation Details, Vehicle Arrival Reporting, Gate – In, Gate – Out and Data History sections.

When the Mode is “Create New”

Gate Operations No.

A unique number identifying the gate operation number.

Numbering Series

Use the drop-down list box to select the numbering series for creating the gate operation number. The combo is loaded with the numbering types defined against the login OU for the Transaction and Transaction Type – Gate Operations.

The system retrieves and displays the details in the “Gate Operation Details” group box.

Status

The status of the gate operation number. The status can be “Fresh” or “Vehicle Arrived” or “Vehicle Gated In” “Vehicle Departed” or “Deleted”.

Vehicle No.

A unique number identifying the vehicle number.

The system retrieves and displays the details in the “Gate Operation Details” group box.

Vehicle Type

The vehicle type arrived at the gate.

Vehicle Owner

The owner of the vehicle.

Ref Doc Type

Use the drop-down list box to select the reference document for specifying the gate operation details. The combo is loaded with “Blank” and “Trip No.” The system displays “Blank” by default on launch of the page.

Ref Doc No.

A unique number identifying the reference document of the vehicle.

Location

The location at which the vehicle has to be reported for transportation activities.

Vehicle Arrived From

The place from which the vehicle arrived.

VAR Date

The date on which the vehicle arrived to the factory. This date should be less than or equal to the system date.

VAR Time

The time at which the vehicle arrived to the factory.

Gate No.

A number identifying the gate number of the factory.

Driver Code

A unique code identifying the driver.

Driver Name

The name of the driver, responsible for transporting the materials.

Purpose

Use the drop-down list box to select the purpose of the vehicle arrival to the factory. The combo is loaded with “Loading”, “Replacement”, “Unloading”, and “Usage”. The system displays “Loading” by default on launch of the page.

Remarks

Any remarks pertaining to the vehicle arrival.

To Internal Location Address

The internal location address where the vehicle has to proceed.

Gate In Date

The date on which the vehicle arrived at the gate. This date should be less than or equal to the system date and greater than or equal to the Vehicle Arrived Date.

Gate In Time

The time at which the vehicle arrived at the gate. This should be greater than the Vehicle Arrived Date and Time.

Gate No.

A number identifying the gate.

Gate In GVW

The gross vehicle weight during the gate in.

GVW UOM

The unit of measurement of the gross vehicle weight.

Vehicle Loaded

Use the drop-down list box to specify whether the vehicle is Fully Loaded / Partially Loaded / Empty during the gate in. The system displays “Empty” by default on launch of the page.

Note:

  1. The vehicle status is updated as Intranist, once the vehicle is out of the gate from the loading point.

  2. The vehicle is declared as "Free" on Gate out confirmation after the unloading job order.

Odometer Reading

The reading on the odometer when the vehicle gated in.

Driver Code

A unique code identifying the driver of the vehicle.

Driver Name

The name of the driver.

Remarks

Any remarks pertaining to the gate in operation.

Destination

The destination location where the vehicle has to report.

Gate Out Date

The date on which the vehicle left the gate. This date should be less than or equal to the system date and greater than the Gate In date.

Gate Out Time

The time at which the vehicle left the gate.

Gate No.

A number identifying the gate.

Gate Out GVW

The gross vehicle weight during gate out.

GVW UOM

The unit of measurement of the gross vehicle weight.

Vehicle Loaded

Use the drop-down list box to specify whether the vehicle is Fully Loaded/Partially Loaded/Empty during the gate out. The system displays “Empty” by default on launch of the page.

The name of the driver during the gate – out operation.

Remarks

Any remarks pertaining to the gate out operation.

The system creates the Gate Operation Number in “Fresh” status.

The system updates the VAR Date, VAR Time, Gate In Date and Gate In Time to the current system date and time and changes the Gate Operation Number to “Vehicle Arrived” status if it is not entered manually.

If entered manually, the system updates the Gate Operation Number status to “Vehicle Gated In”.

The system changes the “Vehicle Arrived” status of the Gate Operation Number to “Vehicle Gated In” status and updates the VAR Date, VAR Time, Gate In Date and Gate In Time in the Vehicle Arrival Reporting/Gate-In group box if it is not entered manually.

The system changes the “Vehicle Gated In” status of the Gate Operation Number to “Vehicle Departed”, if Gate Out Date and Gate Out Time are specified.

The system updates the Gate Operation Number in “Deleted” status.

Note: Only “Fresh” status of Gate Operation Number can be deleted.

To proceed, carry out the following

The system displays the details to the “Data History” group box.

Created By

The name of the person who created the gate operation details.

Created Date

The date on which the gate operation details were created.

Modified By

The login ID of the user who modified the gate operation details.

Modified Date

The date on which the gate operation details were last modified.
