Using On Line Help

If you know the number identifying the receipt you want to authorize, you can enter it directly. Otherwise, you can carry out a search based on the method in which the payment was received, the category to which the receipt belongs and the code identifying the book in which the receipt has been posted. You can search specifying a range of receipt numbers, amounts and receipt dates within which the receipt falls. You can also search based on the person who has raised the receipt, the person who has collected the payment, reference code mentioned in the receipt and also with the instrument number mentioned in the receipt. The system retrieves the receipt details based on the search criteria entered. Receipts that are in the “Fresh” status can be authorized.

This page also allows you to mark multiple receipts for authorization. The status of the receipt after authorization is updated to “Authorized”. The system stores the login ID of the user and the system date along with the authorized details.

The “Select Receipts” page appears.

      - Clicking this icon available near certain fields takes you to the help page of the respective field.

Receipt No

The number identifying the receipt that you want to authorize.

Receipt Category

Use the drop-down to select the category to which the receipt belongs. You can select from “Regular”, “Deposits”, “Advance” or “All”. The combo would be defaulted with All.

Receipt Route

Use the drop-down list box to specify the way in which the payments has been received from the customer. The combo is loaded with “Bank” and “Cash”. The system displays “Bank” by default on launch of the page.

Status

Use the drop-down list box to specify the status of the receipt. The combo is loaded with “Fresh”.

Reference Code From

The starting range of the reference code for which you wish to authorize the receipt details.

To

The ending range of the reference code for which you wish to authorize the receipt details.

User ID

The login ID of the person who has raised the receipt. The system displays the login ID of the user by default on launch of the page.

Customer Code From

The starting code in the range of codes identifying the customer on whom the receipt has been raised. You can enter the codes in full or specify it partially using the “*” character. The system retrieves all the receipts that have been raised on customers whose codes are similar to the value entered here.

To

The ending code in the range of codes identifying the customer on whom the receipt has been raised. You can enter the codes in full or specify it partially using the “*” character. The system retrieves all the receipts that have been raised on customers whose codes are similar to the value entered here.

Currency

The base currency of the login organization unit company is loaded and defaulted.

Receipt Number From

The starting number in the range of receipt numbers you want to retrieve for authorization. You can enter the number in full or specify it partially using the “*” character. The system retrieves all the receipts that have numbers similar to the value entered here.

To

The ending number in the range of receipt numbers you want to retrieve for authorization. You can enter the number in full or specify it partially using the “*” character. The system retrieves all the receipts that have numbers similar to the value entered here.

Collector Code

The code identifying the employee or the name of the employee who has collected the payment. You can enter the code in full or specify it partially using the “*” character. The system retrieves all the receipts that have customer codes similar to the value entered here.

Receipt Amount From

The starting amount in the range of amounts for which you want to retrieve receipts.

To

The code identifying the finance book in which the receipt details have been posted.

Finance Book

Use the drop-down list box to specify the finance book in which the receipt details has to be posted.

Receipt Date From

The starting date in the range of dates within which the receipt that you want to authorize has been raised. The system date is displayed by default on launch of the page.

To

The ending date in the range of dates within which the receipt that you want to authorize has been raised. The system date is displayed by default on launch of the page.

Instrument No. From

The starting number in the range of instrument numbers for which receipts have been raised and that you want to authorize. You can enter the number in full or specify it partially using the “*” character. The system retrieves all the receipts that have instrument numbers similar to the value entered here.

To

The ending number in the range of instrument numbers for which receipts have been raised and that you want to authorize. You can enter the number in full or specify it partially using the “*” character. The system retrieves all the receipts that have instrument numbers similar to the value entered here.

The system displays the following in the “Search Results” multiline:

Note: The system retrieves and displays the receipt numbers that are in the “Fresh” status.

If a Receipt is authorized with instrument date as greater than the system date, the receipt is updated as Fresh.

Receipt No

A unique number identifying the receipt.

Reference Code

A unique code depicting the customer – Lease No / property no. /Unique No. combination under the scheme code.

Customer Code

A unique code identifying the customer.

Receipt Route

The way in which the payment has been received from the customer. It could be “Bank” or “Cash”.

Receipt Date

The date on which the receipt was created.

Currency

The currency in which the receipt has been raised.

Receipt Amount

The amount of the receipt.

Receipt Category

The category to which the receipt belongs.

  • Regular – indicates that the payment has been received in the normal course of business and could be adjusted against a debit document.

  • Deposits – indicates that the payment has been received as a security from the customer.

  • Advance – indicates that the payment has been received against a sale order raised on the customer.

Status

The status of the receipt.

Instrument No.

The number identifying the instrument through which the payment was received.
