Basics of using Ramco Enterprise series web page

Using online help

This activity allows you to record/modify/view the attendance reporting details of the employees. This activity allows you to report employee working hours as well as over time at Assignment Wise / Contract Wise/ Employee Wise. Depending on the mode selected in the header, the records are either fetched for modification or viewing. Reporting of attendance is also done in this activity.

The “Attendance Reporting” page appears.

*      - Clicking this icon available near certain fields takes you to the help page of the respective field.

In the header the mandatory fields are represented as bold and in the multiline the mandatory columns are either bold or displayed in a color other than black.

Mode

Use the drop-down list box to select the mode by which the attendance reporting details are to be fetched or viewed. The combo is loaded with the values “Assignment Wise”, “Employee Wise”, “Contract Wise”, “Pending Records”, “Summary View –Assignment Wise”, “Summary View – Contract Wise” and “Full View”. The system displays “Assignment Wise” by default on launch of the page.

When the Mode is selected as “Assignment Wise”,

Date From

The date from which the attendance report details are to be fetched. This date should not be earlier than the Contract Start Date, Assignment Start Date and Deployment Start Date. This date cannot be a future date.

Date To

The date until which the attendance report details are to be fetched. This date should not be later than Contract To Date and Assignment To Date. This date cannot be a future date. This date should not be earlier than “Date From”.

Employee Code From

The starting code in the range of employee codes mapped to the assignment number for which the attendance report details are to be fetched.

Employee Code To

The ending code in the range of employee codes mapped to the assignment number for which the attendance report details are to be fetched.

Employee Name

The name of employee mapped to the assignment number whose attendance report details are to be fetched.

Assignment No

The number identifying the assignment of the service contract for which the attendance report details are to be fetched.

The system displays the following in the header:

Assignment No

The number identifying the assignment.

Contract No.

The contract number to which the assignment number belongs.

Customer Name

The name of the customer for whom the service is to be provided.

The system fetches the attendance details in the multiline based on the search criteria provided.

Date

The date for which the attendance reporting is to be done.

Employee Code

The code identifying the employee for whom the attendance reporting is to be done.

The system displays the following in the multiline:

Employee Name

The name of the employee corresponding to the employee code.

PD Line No

The post and deployment line number of the employee for the assignment number.

Shift

The type of shift. It could be Shift A, Shift B, Shift C or General Shift.

Day Type

Use the drop-down list box to specify the day type. The combo is loaded with options “Billable Holiday”, “Non Billable Holiday”, “Absent” and blank. The system displays blank by default on launch of the page.

Regular Hours

The regular hours clocked by the employee. The Deployment Hour from the Contract will be defaulted in this column. If the Deployment Hour is not defined in the Contract, then the Standard Working Hours defined in the Set Function Parameter activity of FMS Masters component will be defaulted in this column. The defaulted regular hours can only be decreased.

OT Hours

The over time hours clocked by the employee.

Post

The post where the employee is deployed to render the service.

Contract Line No.

The line number at the contract level.

Item Desc

The description of the item required by the employee to render the service.

Site ID

The code identifying the site where the service is to be carried out.

From Time

The time from which the employee renders the service at the site.

To Time

The time until which the employee renders the service at the site.

Remarks

Any remarks regarding the attendance reporting.

The system saves the attendance reporting details of the employees against the Assignment Number of the Service Contract.

The system displays the following in the multiline:

Status

Indicates the status of the attendance reporting document. The status is displayed as “Fresh” when all the relevant details are provided. Else the status is displayed as “Draft”.

Total Hours

The total hour is the sum of Regular Hours and Overtime Hours.

Total Hours = Regular Hours + OT Hours

Note: Total Hours should be less than or equal to 24 hours. The system throws an error message when the Total Hours is greater than 24 hours.

When the employee is reported against different contracts for the same date then cumulative booked hours should not exceed 24 hours

Attendance reporting will be validated with Contract Termination Date of the Contract, if the reporting date is earlier than contract termination date then changes to attendance reporting will be supported.

When the Shift provided is not part of the shift for the PD Line No - Week Combination in Site Deployment then attendance reporting cannot be done.

Date From

Date To

The date until which the attendance report details are to be fetched. This date should not be later than Contract To Date and Assignment To Date. This date cannot be a future date. This date should not be earlier than “Date From”.

Employee Code

The code identifying the employee for whom the attendance report details are to be fetched.

Site ID

The identification code of the site where the service is to be carried out by the employee.

Assignment No From

The starting number in the range of assignment numbers to which the employee is mapped.

Assignment No To

The ending number in the range of assignment numbers to which the employee is mapped.

Contract No. From

The starting number in the range of contract number to which the assignment number is mapped.

Contract No. To

The ending number in the range of contract number to which the assignment number is mapped.

Contract Line No.

The line number at the contract level.

Customer Code From

The starting number in the range of customer codes with whom the service contract is signed.

Customer Code To

The ending number in the range of customer codes with whom the service contract is signed.

Customer Name

The name of the customer with whom the service contract is signed.

The system displays the following:

Employee Code

The code identifying the employee whose attendance report details are to be viewed/modified.

Employee Name

The name of the employee whose attendance report details are to be viewed/modified.

The system fetches the attendance details in the multiline based on the search criteria provided.

Date

The date for which the attendance reporting is to be done.

Assignment No.

The number identifying the assignment to which the employee is mapped.

PD Line No

The post and deployment line number of the employee for the assignment number.

Shift

The type of shift. It could be Shift A, Shift B, Shift C or General Shift.

The identification code of the site where the service is to be carried out by the employee.

Assignment No From

The starting number in the range of assignment numbers to which the employee is mapped.

Assignment No To

The ending number in the range of assignment numbers to which the employee is mapped.

Contract No.

The number identifying the service contract to which the assignment number is mapped.

Customer Code From

The starting number in the range of customer codes with whom the service contract is signed.

The cumulative regular hours of the employee against the assignment number.

Cumulative OT Hours

The cumulative OT hours of the employee against the assignment number.

Total Hours

Total hour is the sum of cumulative regular and cumulative OT hours.

Total Hours = Cumulative Regular Hours + Cumulative OT Hours

From Time

The time from which the employee rendered the service at the site.

To Time

The time until which the employee rendered the service at the site.

Remarks

Cumulative Regular Hours

The cumulative regular hours of the employee against the contract line number.

Cumulative OT Hours

The cumulative OT hours of the employee against the contract line number.

Total Hours

Total hour is the sum of cumulative regular and cumulative OT hours.

Total Hours = Cumulative Regular Hours + Cumulative OT Hours

From Time

The time from which the employee rendered the service at the site.

To Time

The time until which the employee rendered the service at the site.

Remarks

The date until which the attendance report details are to be fetched for viewing. This date should not be later than Contract To Date and Assignment To Date. This date cannot be a future date. This date should not be earlier than “Date From”.
