Using online help

This activity allows you to generate invoice for the work reported. Single invoice can be generated either for multiple work reporting or for one work reporting. For generating “Multiple Work Reporting- One Invoice” Customer Code, Bill to ID, Pay Term , Finance Book, and Invoicing OU should be unique .Based on the search criteria entered in the header, the system displays the Invoicing OU, Contract details, Work reporting details, Customer and ID for whom the invoice is generated. When the View Generated Invoice check box is selected, then the Generate button and Invoice Information group box will be hidden from the UI and the UI will be a view page displaying the invoice details.

The “Generate Invoice” page appears.

       - Clicking this icon available near certain fields takes you to the help page of the respective field.

In the header the mandatory fields are represented as bold and in the multiline the mandatory columns are either bold or displayed in a color other than black.

Customer Code

The code identifying the customer for whom the invoice is to be generated.

Customer Name

The name of the customer for whom the invoice is to be generated.

Bill to ID

The ID for which the invoice is to be generated .

Contract No. From

The starting number in the range of contract numbers from which the details are to be fetched in the multiline for invoice generation.

Contract No. To

The ending number in the range of contract numbers until which the details are to be fetched in the multiline for invoice generation. This number should be greater than or equal to “Contract No. From”.

Work Reporting No. From

The starting number in the range of work reporting number from which the details are to be fetched in the multiline for invoice generation.

Work Reporting No. To

The ending number in the range of  work reporting number until which the details are to be fetched in the multiline for invoice generation. This number should be greater than or equal to “Work Reporting No From”.

Work Reporting Date From

The start date in the range of work reporting dates from which the details are to be fetched in the multiline for invoice generation.

Work Reporting Date To

The end date in the range of work reporting dates until which the details are to be fetched in the multiline for invoice generation. This date should be greater than or equal to “Work Reporting Date From”.

View Generated Invoice

Select the checkbox to view the generated invoice.

Note: If the “View Generated Invoice” checkbox is checked, then the Invoice Information section and the Generate button will be hidden in the UI.

Note: On launch of the UI, “Invoice Information”  section will not be visible. Only after executing the Search task, the Invoice Information group box will be visible.

Search will fetch work reporting number generated in the login OU and the Invoicing OU.

Invoice Generation Type

Use the drop-down list box to specify the method of invoice generation. The combo is loaded with options “Multiple Work Reporting – One Invoice” and “One Work Reporting – One Invoice”. The system displays “One Work Reporting – One Invoice” by default on launch of the page.

Invoice Currency

Use the drop-down list box to specify the invoice currency.

Invoice Date

The date on which the invoice is to be generated.

Numbering Type

Use the drop-down list box to specify the numbering type of invoice.

The system displays the following details in the “Search Results” multiline:

Invoicing OU

The OU where the invoicing is to be done.

Contract No.

The service contract for which invoice is to be generated.

Contract OU

The OU to which the service contract belongs.

Work Reporting No.

The work reporting number for which invoice is to be generated.

Work Reporting Amt.

The work reporting amount for which invoice is to be generated.

Work Reporting Date

The date on which the work reporting was generated.

Work Reporting OU

The OU where the work reporting was done.

Bill to Customer

The code identifying the customer for whom the invoice is to be generated.

Bill to ID

The ID for which the invoice is to be generated.

Invoice Currency

The currency of the invoice.

Exchange Rate

The exchange rate applicable to the invoice currency.

Finance Book

The finance book of the invoicing OU.

Pay Term

The pay term applicable to the payment of the invoice.

The invoice number will be generated and displayed in the multiline. The invoice number will be generated based on the numbering type defined for the invoicing OU.

The system displays the following details in the “Search Results” multiline:

Invoice No.

The number identifying the invoice.

 

Hyperlink available.

This link launches the “View Invoice” UI of Customer Order Based Invoice component to view the invoice details of the respective OU.

Total Invoice Amount

The amount for which the invoice was raised.

Invoice Date

The date on which the invoice was generated.

Invoice Status

The status of the invoice.

Note: The above fields will be visible in the multiline only after the execution of the Generate task
