Project Progress Reporting
Select the “Project Progress Reporting” activity under the “Project Execution” business component.
The “Project Progress Reporting” page appears.
Note: Clicking this icon available near certain fields takes you to the help page of the respective field.
The system displays the following.
Workflow Status |
The status of the document as per Workflow applicability. |
Note: This field is visible only, if the Workflow Parameter is set as Yes in the Company Parameter Setup component.
The system displays the following details in the header:
Status |
The status of the project. |
Enter the following details in the header:
PPR No |
The unique transaction number that identifies the project process report. |
Reported Date |
The reporting date. |
Select the following from the header:
Auto Invoice |
Use the drop-down list box to select the auto invoice. The combo is loaded with “No” and “Yes”. The system displays “No” by default on launch of the page. |
Enter the following details in the header:
Project Code |
The unique code that identifies the project for which the reporting is being done. |
The system displays the following details in the header:
Project Description |
The description of the project. |
Project Status |
The status of the project. |
Enter the following details in the header:
Reason for Return |
Indicates the reason for the return of the project. |
Description |
The detailed description of the return. |
Select the following from the header:
Task Type |
Use the drop-down list box to select the task type. The combo is loaded with “Regular”, “Sub Contracted”, and “Zero BOQ”. The system displays “Regular” by default on launch of the page. |
Reporting For |
Use the drop-down list box to select the reporting for. The combo is loaded with “Task” and”Negative Qty”. The system displays “Task” by default on launch of the page. Load this combo with value 'Negative Qty' if Allow -ve qty at PPR is set as Yes at Function Parameter. |
Note: The combo value “Negative Qty” is visible only, if allow –ve quantity at PPR is set as Yes at Function Parameter,
The system displays the following details.
GR No. |
The unique goods receipt number that is generated on approval of a Project Progress reporting transaction involving sub contracted tasks. |
GR Status |
The status of the goods receipt. |
Invoice No. |
A unique code identifying the invoice. |
Invoice Status |
The status of the invoice. |
Debit Note No. |
A unique number identifying the debit note. |
Debit Note Status |
Indicates the debit note status. |
Note: The invoice section is visible only, if Auto Invoice is set as “Yes”.

Enter the following details in the “Task Filter” group box:
Task Group |
Use the drop-down list box to specify the task group, tasks mapped to which shall be reported. The combo is loaded with the task groups mapped to the project. The system displays “All” by default on launch of the page. |
Task Code |
Use the drop-down list box to specify the task code for reporting. The combo is loaded with the task codes mapped to the selected task group for the project. The system displays “All” by default on launch of the page. |
Work Area |
Use the drop-down list box to specify the work area of the project, tasks mapped to which will be reported. The combo is loaded with the work areas mapped to the project. The system displays “All” by default on launch of the page. |
From WBS ID |
The WBS ID range from which you want to filter the details for the project. |
To WBS ID |
The WBS ID range up to which you want to filter the details for the project. |
Supplier Code |
A unique code identifying the supplier for which you wish to filter the details for the project. |
From Planned Start Date |
The planned start date from which you want to filter the task details. |
To Planned start Date |
The planned end date till which you want to filter the task details. |
Folder |
Use the drop-down list box to select the folder details. The combo is loaded with “Desirable”, “Essential” and “Vital”, The system displays “Blank” by default on launch of the page. |
Order Type |
Use the drop-down list box to specify the order type. The combo is loaded with “PO”, “PRS”, “SCO”, “SCRS”, The system displays “Blank” by default on launch of the page. The options SCO and SCRS are visible when the Task Type is selected as “Sub Contracted”. |
Order No From |
The order number range from which you want to filter the details of the project. |
Order No To |
The order number range up to which you want to filter the details of the project. |
Click the "Get Details" pushbutton to get the details of the project.
The system displays the following details in the “Details” multiline.
Order No. |
The Sub Contract/Purchase Order / Subcontract/Purchase Release Slip against which reporting is being done. |
Order Type |
Indicates the order type. The order type can be SCO / SCRS / PO / PRS. |
Order Date |
The date on which the Sub Contract/Purchase Order / Subcontract/Purchase Release Slip was raised. |
Supplier Code |
The unique code identifying the sub contractor on whom the order was raised for execution of some tasks. |
Supplier Name |
The name of the sub contractor. |
Order Line No. |
The unique line number in the Sub Contract/Purchase Order / Subcontract/Purchase Release Slip. |
Line Item |
The code identifying the work break down line item which is present in the Sub Contract Order. Each WBS Line Item contains WBS IDs which have been sub contracted. All such WBS Ids have the same output UOM. |
Note: The above fields are visible when “Order Type combo is selected as “PO”/ "PRS" in the "Task Filter" group box.
The system displays the following details in the “Details” multiline.
WBS ID |
The work break down structure ID of the project. |
Task Code |
The unique code identifying the task applicable for the WBS ID mapped to the project. |
Task Description |
The description of the task. |
Task Group |
The task group to which the task is mapped to. |
Work Area |
The work area of the project applicable for the WBS ID. |
Folder |
The folder in which the details are maintained. |
Note: The details of task are displayed only when they are not in “Held” Status.
Click the "Transfer" pushbutton to transfer the details to “Reporting Details” multiline.
The system displays the following details in the “Reporting Details" group box:
Order No. |
The Order of the project for which reporting is done. |
Order Date |
The date on which the order is created. |
Order Amendment No. |
A unique number identifying the order amendment. |
Supplier Code |
A unique code identifying the supplier. |
Supplier Name |
The name of the supplier. |
Folder |
The folder in which the details are maintained. |
Enter the following details in the "Reporting Details" group box:
GR Numbering Series |
Use the drop-down list box to specify the GR Numbering series for the report details. The combo is loaded with all the numbering series applicable for the login OU mapped to the GR event. A GR in Fresh status will be raised on approval of a PPR transaction referring a Sub Contract Order. |
The system displays the following details in the “Reporting Details" multiline:
Order Line No. |
The line number in the Order for which the reporting is being done. |
Line Item |
The code identifying the work break down line item which is present in the Sub Contract Order. Each WBS Line Item contains WBS IDs which have been sub contracted. All such WBS Ids have the same output UOM. |
Note: The above fields are visible when “Sub Contracted Tasks” combo is selected as “Yes” in the "Task Filter" group box.
The system displays the following details in the “Reporting Details" multiline:
WBS ID |
The work break down structure ID of the project that has to be reported. |
Task Code |
The unique code identifying the task applicable for the WBS ID mapped to the project that has to be reported. |
Task Description |
The description of the project. |
Task Group |
The task group to which the task is mapped to. |
Work Area |
The work area of the project applicable for the WBS ID |
Output Qty |
The planned output quantity applicable for the WBS ID. |
Output UOM |
The planned output quantity unit of measurement. |
Enter the following details in the "Reporting Details" multiline:
Report Completed Qty |
The completed quantity that has to be reported for the WBS ID. |
The system displays the following details in the "Reporting Details" multiline:
Already Completed Qty |
The quantity that has already been reported against the WBS ID. . |
Enter the following details in the “Reporting Details” multiline:
Qty. remaining to complete |
Indicates the pending quantity to be reported against the WBS ID. |
The system displays the following details in the "Reporting Details" multiline.
Completion (%) |
The completion percentage for the WBS ID. |
Enter the following details in the "Reporting Details" multiline:
Completion Status |
Use the drop-down list box to specify the completion status of the project. The options are “No” and “Yes”. The system displays “No” by default on launch of the page. |
Actual Start Date |
The actual start date of the execution of the WBS Id for the reporting being made. |
Actual Start Time |
The actual start time of the execution of the WBS Id for the reporting being made. |
Actual End Date |
The actual end date of the execution of the WBS Id for the reporting being made. |
Actual End Time |
The actual end time of the execution of the WBS Id for the reporting being made. |
The system displays the following details in the "Reporting Details" multiline.
Planned Effort |
Indicates the planned effort to complete the task. |
Enter the following details in the “Reporting Details” multiline:
Effort Spent |
The actual effort spent to complete the project. |
The system displays the following details in the "Reporting Details" multiline:
Effort UOM |
Indicates the unit of measurement of the effort. |
Cumulative Effort |
Cumulative effort spent on the WBS id for the Project. |
Enter the following details in the “Reporting Details” multiline:
In progress Qty |
WBS Id Wise quantity can be equal to or less than the balance quantity to be reported. |
Remarks |
Any remarks about the reporting for the WBS ID. |
Enter the following:
AC Usage |
The account usage of the billing. Mandatory. |
CC Usage |
The cost center usage of the billing. Mandatory. The CC usage mapped to the cost center should be one of the cost center mapped to the project. |
Click the "Maintain" pushbutton to save the entered details.
The system generates the project process report number.
Click the "Authorize" pushbutton to authorize the report.
Note:
Goods receipt transaction in draft / fresh status with respect to the sub contracting order is generated on approval of a project process report transaction for sub contracted tasks
For every approval, the WBS is updated.
The system updates the status of the reporting as authorized.
Supplier Order Based Invoice (SOBI) is created in “Fresh” status if Auto Invoice is set as “Yes” and the “Task Type” is “Subcontracted” and “Reporting For” is “Task”.
Note: The already completed quantity is reduced to the tune of the reported quantity.
For example,
Already completed = 75
Negative qty = 10
On authorize PPR, Already completed quantity is updated as= 65 ( 75-10)
Supplier Debit Note is generated in Authorized status if Reporting For is set as “Negative”.
Click the “Return” pushbutton to return the PPR.
The system updates the PPR status as “Returned”.
Click the "Delete" pushbutton to delete the report.
Click the “Print” pushbutton to print the details.
To proceed, carry out the following:
Select the “Actual Material / Resource reporting” link at the bottom of the page to specify the actual details.
Select the “Operational Checklist” link at the bottom of the page to specify the checklist details.
Select the “Warranty Details” link at the bottom of the page to specify the warranty details of the project materials.
Select the “Attach Notes” link at the bottom of the page to specify the additional details.
Select the “Specify TCD Details” link at the bottom of the page to specify the tax, charges and discount details.
Note: Specify TCD Details hyperlink is visible when the “Task Type” is selected as “Sub Contracted”.
The system displays the following in the “Data History” group box:
Created By |
The login ID of the user who created the project report. |
Created Date |
The date and time on which the project report was created. |
Last Modified By |
The login ID of the user who last modified the project report details. |
Last Modified Date |
The date and time on which the project report details were last modified. |
