Basics of using Ramco Enterpise series web page

This page allows you to enter the schedule details for the line items whose schedule type is “Multiple”. Tell me more

The “Specify Schedules” page appears.

The system displays the following in the header

Status

The status of the PR

The system displays the following fields in the "PR Details" group box

PR No.

The unique purchase request number for which the Schedule details are specified.

PR Line No.

Use the drop-down list box to select the unique identification number Line number of the Item for which the Schedule details are specified. The drop-down lists all the line numbers in the purchase request document

The system displays the following fields in the header:

Item

The code of the Item for which the schedule details are to be specified.

Variant Code

The variant of the Item code.

Desc.

The textual description pertaining to the item or Item Variant. In case of Adhoc Items the description serves as an identifier.

Required Qty.

The number of units required of the line item

UOM

The unit of measurement of item in which it is requested

Need Date

The date on which you need the Item. (Date Format)

Schedule Qty.

The number of units of the item requested by you to be delivered on a specific date (Integer)

Warehouse Code

The unique code identifying the warehouse where the item will be stored on receipt. (Alphanumeric, 10) Mandatory

Accounting Unit

Use the drop-down list box to select the account unit to which the values from the purchase request are mapped. The drop-down lists all the “Purchase Order Accounting Unit” in the “Type Setup” Component

CC Usage

Use the drop-down list box to specify the Cost Center for which the Purchase Request has been initiated. The user-defined name, which actually refers a Cost Center.

AC Usage

Use the drop-down list box to specify the Account Code to which the Items in the Purchase Request are to be mapped.

Sub Analysis Code

The identifier for sub analysis details mapped to the Analysis Code. It is a part of a main Analysis code. (Alphanumeric, 5)

Analysis Code

The unique identifier of the analysis details mapped to the Account code. (Alphanumeric, 5)

The system displays the following information in the “Schedule Details” multiline

Schedule No.

The serial number identifying the schedule of delivery of items for the line item. Schedule number can repeat if the need date specified is same for a PR Line. This is automatically generated when the “Specify Schedules” or the “Approve” pushbutton is pressed

Schedule Qty.

The number of units of the item you need that is to be supplied by the supplier on the stipulated date (Integer) The value is displayed when the line number is selected in the header which can be modified

Note: The sum of all the schedule quantities must be equal to the ordered quantity.

Need Date

The date on which you need the Item. (Date Format) The value is displayed when the line number is selected in the header which can be modified

Note: The “Need Date” can be modified if there is a need date specified in the PRdocument’s main page if the schedule type is “Single”

Warehouse Code

The unique code identifying the warehouse where the item needs to be stored on receipt (Alphanumeric, 10) Mandatory

Accounting Unit

Use the drop-down list box to select the account unit to which the values from the purchase request are mapped. The drop-down lists all the “Purchase Order Accounting Unit” in the “Type Setup” Component

CC Usage

Use the drop-down list box to specify the Cost Center for which the Purchase Request has been initiated. This will be defaulted with the value entered in the Header and you can modify the value.

AC Usage

Use the drop-down list box to specify the Account Code to which the Items in the Purchase Request are to be mapped. This will be defaulted with the value entered in the Header and you can modify the value.

Note: All the rows of a single schedule for a particular need date should have the same AC usage

Analysis Code

Analysis code mapped to the Account Code. (Alphanumeric, 5) This will be defaulted with the value entered in the Header. You can modify the value.

Sub Analysis Code

Sub analysis code mapped to the Analysis code. (Alphanumeric, 5) This will be defaulted with the value entered in the Header.  You can modify the value.

Note: There should be atleast one schedule quantity-need date combination in the multiline for a PR line number

The sum of all the “Schedule qty” in the multiline should be equal to the “Required Quantity” in the PR line number if the status of PR is “Draft”,” Returned” or “Fresh”

The warehouse-cost center combination cannot repeat in the multiline for a particular need date

For a PR line item whose schedule type is “Staggered” more than one schedule should exist.

The system displays a success message.

The Schedule details will be mapped to the Purchase Request.

The status of the document will be updated as “Fresh”.

The system displays a success message.

The Purchase Request is approved and is eligible for Request for Quotation or Purchase Order.

The status of the document will be updated as “Approved”.

Specify Delivery Schedule & Usage – An Overview

Activity overview

This page allows you to enter the schedule details for the line items.. On giving the line number of the item in the PR the system displays all the item details such as the code identifying the item, the variant code of the item, the description pertaining to the item, the number of units required of the item and the unit of measurement of the line item. You can distribute the quantity into various schedules by giving various need dates and warehouse where the items has to be delivered.

If it is a single schedule for a PR line, the items are delivered all at a time on the need date specified (Though in this case the warehouse or CC Usage can be different). If it is staggered schedule, the items are delivered in parts on different need dates. During staggered delivery, the period in which the deliveries are going to be made should be specified. The staggered delivery can happen in any time intervals.

You can approve the PR if it is of “General” type and does not have any quality specification.
