Using online help

This page allows you to set the criterion to view the list of documents that are in the “Held” status. Tell me more.

The “Held Documents” page appears.

Company Code

Use the drop-down list box to select the code identifying the company for which you want to view the list of documents that are on hold. All the companies that are in the “Active” status and have been mapped to the login organization unit will be available for selection.

BU

Use the drop-down list box to select the code identifying the business unit for which you want to view the list of documents that are on hold. All the business units that are in the “Active” status and have been mapped to the selected company will be available for selection.

Org. Unit

Use the drop-down list box to select the code identifying the organization unit in which you want to view the list of documents that are on hold. All the organizations units that have been defined in the

Finance Book

Use the drop-down list box to select the code identifying the finance book in which the details of the documents have been posted. All the finance books that have been deployed in the company will be available for selection. The system displays “All” by default on launch of the page.

Doc. Type

Use the drop-down list box to select the type of document that you want to retrieve. You can select from “Supplier Item Document”, “Supplier Expense Document”, “Supplier Prepayment Document”, “Supplier Order Based Document”, “Supplier Delivery Charges Document”, “Supplier Debit Credit Note”, “Supplier Transfer Note” or  “All”. The system displays “All” by default on launch of the page.

Invoice Category

Use the drop-down list box to select the category to which the invoice belongs. You can select from “Regular Invoice”, “Capital Invoice”, “Consumption Report Invoice”, “Drop Ship Invoice” and “Drop Ship Receipt Invoice”. The system displays “Regular” by default on launch of the page.

Supplier Code From

The starting code in the range of codes identifying the suppliers for whom you want to view the documents that are on hold (Alphanumeric, 18).

Supplier Code To

The ending code in the range of codes identifying the suppliers for whom you want to view the documents that are on hold (Alphanumeric, 18).

Currency

Use the drop-down list box to select the code identifying the currency in which you want to view the documents that are on hold. All the currency codes that have been assigned to the login company will be available for selection. The system displays “All” by default on launch of the page.

Doc.  No. From

The starting number in the range of document numbers that you want to retrieve (Alphanumeric, 18).

Note: The number entered in this field must be before or the same the number entered in the “Document No To” field.

Doc.  No .To

The ending number in the range of document numbers that you want to retrieve (Alphanumeric, 18).

Supplier Account Group

Use the drop-down list box to select the supplier account group for which you want to view the documents that are on hold. All the supplier group codes that have been defined for the selected group type will be available for selection.

Doc. Date From

The starting date in the date range during which the held documents were raised (Date Format).

Note: The date entered in this field must be before or the same the date entered in the “To” field.

Doc.  Date To

The ending date in the date range during which the held documents were raised (Date Format).

Report ID

Select the check to print the report ID on all the pages.

Doc. Amount From

The starting amount in the range of document amounts for which the documents that you want to retrieve were raised (Decimal).

Note: The amount entered in this field must be lesser than or equal to the amount entered in the “To” field.

To

The ending amount in the range of document amounts for which the

Entry Point Page

Select the check box to print the entry point page once on the report.

Held Documents – An overview

Component Overview

Documents like invoices, credit notes or transfer notes can be put on hold. A document is put on hold to stop it from being adjusted against payments made to the supplier at a later time. This report allows you to retrieve the documents that are in the “Held” status based on the search criteria entered.

You can search by specifying a range of codes identifying the suppliers for whom you want to view the held documents. You can also select the code identifying the finance book and the invoice category. You can also select the type of held documents that you want to view. You can also specify a range of codes identifying the documents that you want to view. The system retrieves and displays the report based on the search criteria entered. You can view all the details regarding the documents that have been put on hold.
