This page allow you to allocate spare parts. Tell me more.
Select the “Book Parts” link from the “Select Work Orders” page. Alternatively, click the hyperlinked work order in the multiline of the same page.
The “Book Parts” page appears.
If you wish to allocate parts to a work order other than the work order selected in the previous page, enter the following field:
WO |
The work order to which parts must be allocated (Alphanumeric, 18). Ensure that the status of the work order is “Deferred”, “Interrupted”, “Scheduled” and “In Progress”. |
Press <Enter>. The system retrieves the parts that are already allocated to the work order. The description of the work order is retrieved alongside. You can enter the modified description (Alphanumeric, 150). |

The system retrieves the tasks belonging to the work order in the “Task/Work Order” drop-down list box. The parts that are already allocated for the work order are retrieved in the multiline.
Enter the following field:
Task/WO |
Use the drop-down list box and select “Work Order”, to allocate parts for the work order. If you wish to allocate parts for the task belonging to the work order, select the appropriate task from the drop-down list box. The system displays “Work Order” by default. |

The status of the work order, which can be “Scheduled” or “In-Progress”. |

The date on which the work order must be completed. |
WO Date |
The date on which the work order is created. |
Work Group |
The work group that is responsible for carrying out the work order. |
WO On |
The maintainable object on which the work order is raised. The system displays either “Equipment” or “Location”. |
Code |
The identifier of the equipment or location. |
Planning Group |
The planning group of the work order. |
The system retrieves the details of the spare parts that are already allocated to the work order in the “Booking Details” multiline:
Enter the following fields in the “Allocation Details” multiline to allocate parts to the work order or to the tasks that are specified for the work order.
Item |
The item to be allocated for the work order (Alphanumeric, 32). Ensure that the item has already been defined in the “Item Administration” business component of Ramco Corporate Solutions. . This field cannot be modified. Help facility available |

The unit of measurement of the spare part (Alphanumeric, 10). Data entry in this field is mandatory if an item has been specified in the “Item” field. Ensure that the unit of measurement has already been defined in the ”UOM Administration” business component of Ramco Corporate Solutions. Help facility available. |
Warehouse

The warehouse from which the spare part is allocated (Alphanumeric, 10). Data entry in this field is mandatory if you have entered a spare part in the “Item” field. Ensure that the warehouse is already attached to the spare part in the ”Storage Administration” business component of Ramco Corporate Solutions. The system displays the warehouse that has been defined for the item in the inventory. Help facility available |
Item Status |
The status of the item (Alphanumeric, 25). Ensure that the status is already defined for the warehouse in the ”Item Administration” business component of Ramco Corporate Solutions. |
The system displays the following fields in the multiline:
Reserved Qty. |
The quantity that is reserved for the work order. |
Issued Qty. |
The quantity that is issued. |
Pending Allocation Qty. |
The quantity that is pending to be allocated. |
Stock UOM |
The unit of measurement of the stock. |
Enter the following field in the multiline:

Any additional information about allocating the spare part to the work order (Alphanumeric, 255). |
Check the box in the “Select” column of the multiline to select the item that must be booked or unallocated.
Click the Delete icon in the toolbar above the multiline to delete the selected items.
Note: You cannot delete an item for which the quantity issued is greater than zero.
The system deletes the spare part from being specified for the work order and removes any demand that is already created for procuring the specific item. The system also deletes any spare parts that have already been allocated for the item.
Click the “Book Parts” pushbutton to book the selected items to the work order.
The system performs the following:
The system allocates the spare parts.
If the quantity to be allocated is not fully available, the system allocates the available quantity of spare parts provided the “Partial Allocate” field has been set as “Yes” in the “Option Settings” activity.
The system displays the allocated quantity in the “Allocated Quantity “ field.
The system also refreshes the page and fills in the “Allocated Item Details” multiline with the details of the allcoation that has been done.
To unallocate items
The system retrieves in the “Allocated Item Details” multiline, the following details of the items that were allocated to the work order or for the tasks that are specified for the work order:

Check the box in the “Select” column of the multiline to select the item that must be unallocated.
Click the “Unallocate Parts” pushbutton to unallocate the selected items.
Note: Ensure that allocation is already done for the work order and that the allocated quantity is greater than zero.
The system un-allocates the quantity specified in the “Qty To Be Unallocated” field from the work order.
To proceed, carry out the following
Select the “Selective Allocation” link from the bottom of the page to selectively allocate the spare part.
Select the “View Allocation Details” link from the bottom of the page to view the allocation that is already done.
Select the "Lot / Serial No. Information" link from the bottom of the page to specify the lot / serial item details.
Select the "Raise Purchase Request" link from the bottom of the page to raise a purchase request for the order.
Select the "View Maintenance Issue" link from the bottom of the page to view the issue details.
The system displays the following details in the “Record Statistics” group box:

Allocating parts for the work order – An overview
You can allocate spare parts in this page. You can allocate spare parts for a work order that is selected in the previous page, or you can enter a work order in this page and allocate spare parts to it. You can allocate spare parts to the work order or to every task belonging to the work order. You can allocate spare parts by specifying the following details:
The item and variant of the spare part to be reserved
The warehouse of the item
The unit of measurement of the item
The quantity of item that must be allocated to the work order
The method of allocation
The following are the various allocation methods:
Max. Bin Level – In this method the system allocates the stock from bins that holds the maximum quantity of stock. This method supports non-controlled, lot-controlled, serial-controlled and lot- and serial- controlled items.
Min. Bin Level – In this method, the system allocates the stock from bins that holds the minimum quantity of stock. This method supports non-controlled, lot-controlled, serial-controlled and lot- and serial-controlled item
LIFO – In this method, the system allocates the material that has arrived last in the warehouse. This method is applicable to lot-controlled items and serial-controlled items.
FIFO – In this method, the system allocates the material that has arrived first in the warehouse. This method is applicable to lot-controlled items and serial-controlled items.
Latest Expiry – In this method the stock with the latest expiry date is given priority during allocation based on usage.
Earliest Expiry – In this method, the stock with the earliest expiry date is given priority during allocation based on usage.
You can select the item and allocate it to the work order. The system allocates the spare parts to the work order. If sufficient spares are not available and if the option for partial allocation of spare parts is set in the “Option Settings” activity, the system partially allocates spare parts to the work order.
You can also unallocate an item that is already allocated.
Schedule Work Order
You can allocate spare parts by choosing an appropriate allocation method.
Set the “Allocation Method” field as “Max. Bin Level” to allocate stock from the bin with maximum stock.
Set the “Allocate Method” field as “Min. Bin Level” to allocate stock from the bin with minimum stock.
Set the “Allocate Method” field as “LIFO” to allocate stock, which has arrived last in the warehouse.
Set the “Allocate Method” field as “FIFO” to allocate stock, which has arrived first in the warehouse.
Set the “Allocate Method” field as “Latest Expiry” to allocate stock that has the latest expiry date.
Set the “Allocate Method” field as “Earliest Expiry” to allocate stock that has the earliest expiry date.
You can unallocate spare parts that are already allocated.
Select the item to be unallocated.
Click the “UnAllocate” pushbutton.
