Create & Authorize Unplanned Issue
This page allows you to create and authorize an unplanned issue transaction. The unplanned issue transaction is used to issue material from a warehouse in cases of emergency or unexpected circumstances. You can enter the item details along with the storage address from where the issues are being made. Details such as the quantity to be issued and in case the item is lot / serial number controlled then the lot / serial number must also be specified while recording the transaction. Unplanned issue can be authorized only if the user has the requisite permission.
Select the "Create & Authorize Unplanned Issue" link under the "Stock Issue" business component
The “Create & Authorize Unplanned Issue” page appears.
The system displays the following:

The status of the unplanned issue transaction. |

The number identifying the transaction.(Alphanumeric, 18) |

Numbering Type |
Use the drop-down list box to select a numbering type for generating the transaction number of the Unplanned Issue transaction. All the numbering types defined for the Transaction type “Unplanned Issue” in the “Numbering Class” component will be displayed here. |

The date on which the transaction took place. (Date Format) |

Warehouse Code |
The unique code of the warehouse from which the issue of the specified item is being made. (Alphanumeric, 10) |

Ref. Doc. Type |
Use the drop-down list box to specify the type of the reference document based on which the issue is being made. This is an optional field. It is mandatory only if the issue happens to be for a subcontractor. Ref doc type necessarily has to be subcontract order but ref doc number is not mandatory. Supplier is required for unplanned subcontract issue |

The name of the supplier. The system fetches the name corresponding to the code entered. |

Emergency Issue |
Click this box to specify whether the unplanned issue is made in emergency circumstances or not. If this check box is checked, system does not check the free stock during the authorization of the document for dispositionable items. |

Usage For A/C Code |
Use the drop-down list box to select the account usage to capture account code. Account usage is mapped to account code in ARD. This value will be defaulted in the multiline once it is selected. |

Usage For CC |
Use the drop-down list box to select the cost center usage for the unplanned issue transaction to get the cost center to which the accounts are to be updated. Account code & cost center should be mapped to each other for financial postings to happen. This value once selected in the header will be defaulted in the multiline. |

Click the “Default Storage Details” pushbutton to retrieve the default values for zone/bin combination, lot and sub lot numbers, and starting and ending serial number fields in the multiline. The default details for the particular item/variant combination and stock status in the selected warehouse from the “Storage Administration” component will be fetched and displayed here.

Use the drop-down list box to select a stock status of the item issued. All the stock statuses defined in the “Stock Status Definition” component for the “Unplanned Issue” transaction type will be displayed here. |

Zone |
The number identifying the zone in which the item is stored in the warehouse (Alphanumeric, 10). This zone number must have been defined in the “Create Warehouse Information” activity of the “Storage Administration” component. |

Use the drop-down list box to specify the usage of cost center. All the cost center usages defined for the “Unplanned Issue” transaction type in the “Cost Center Rule Definition” component will be displayed here. |

Available Qty. |
The total quantity (physical quantity) of the particular item available in the warehouse is displayed. |

Kit Code |
The unique code identifying the kit, which is a combination of number of items, grouped together. Items of different item/variant combination can be grouped under a single kit. This will be displayed if the line item is of type kit. |

Alternate Qty |
The alternate quantity for a catchweight item. (Integer).This quantity is fetched on entering the Issue Qty. |

Alternate UOM |
The alternate unit of measurement for a catchweight item. (Alphanumeric,10). |

Check the “Select” column in the multiline to select the transaction for viewing item details, lot information, serial number information, modifying unplanned issue, inquiring warehouse stock, disposition review and attaching notes.
Click the “Create Issue” pushbutton to create the unplanned issue transaction.
Click the “Create And Authorize Issue” pushbutton to create and authorize the unplanned issue transaction.

To proceed, carry out the following
Select the “View Item Details” link at the bottom of the page to view details of items.
Select the “View Lot Details” link at the bottom of the page to view the lot related information.
Select the “View Serial Details” link at the bottom of the page to view the serial number information.
Select “Financial Information” link at the bottom of the page to maintain the financial information for the unplanned issue transaction.
Select “Edit Unplanned Issue” link at the bottom of the page to modify the unplanned issue transaction.
Select “Attach Notes” link at the bottom of the page to attach notes for a unplanned issue transaction.
Select the “Specify Receipt Document Mapping” link at the bottom of the page to map the quantity of items to the goods receipt document.
Note: It is mandatory to enter the details in this page if the same item is supplied by different suppliers to a warehouse.
Select “Stock Status Review” link at the bottom of the page to inquire the warehouse information.
Select “Disposition Review” link at the bottom of the page to review the dispositionable stock.
Select “View Item Substitute” link at the bottom of the page to view the item substitutes.
Select “View Warehouse Details” link at the bottom of the page to view storage information.
Select the “Tax Calculation Summary” link at the bottom of the page to edit the tax calculation details.
