Using Online Help

This activity allows you to close the trip/equipment log in bulk. You can search and retrieve the log details to close. You can specify the vehicle or equipment number, route number, status and the date range in the search criteria and retrieve the details. You can also revise the log details that are already confirmed. You can also consolidate the monthly usage logs to a single log and raise supplier invoices  on a monthly basis.

The “Bulk Closure of Log” page appears.

Note:  Clicking this icon available near certain fields takes you to the help page of the respective field.

Mode

Use the drop-down list box to select the mode. The combo is loaded with “Close”, “Consolidate” and “Revise”. The system displays “Close” by default on launch of the page.

  • Close – The system retrieves the In-progress Trips and Fresh Usage records for closure.

  • Consolidate - The system retrieves and combine all the monthly frequency closed equipment logs (usage) which has same Blanket Purchase Order – Line Number and updates the status as Consolidated. The system creates a new (single) log in Confirmed status and generates a Purchase Release Slip (PRS) in authorized status.

  • Revise – The system retrieves the Confirmed/Closed Logs for revision to enable the user can modify the logs.

Vehicle/Equipment No

A unique number identifying the vehicle or equipment number for which you wish to close the log details.

Route No.

A unique number identifying the vehicle route.

Status

Use the drop-down list box to select the status of the Trip Log or Equipment Log. The combo is loaded with "Fresh", “In progress”, "Confirmed" and “Closed”. The system displays “In Progress” by default on launch of the page.

User Code

A unique code identifying the driver or equipment operator.

Name

The name of the driver or equipment operator.

Basis

Use the drop-down list box to select the basis for which you wish to close the log. The combo is loaded with “Trip”, “Usage”, "Transport" and "Vehicle". The system displays “Trip” by default on launch of the page.

From Date

The starting date range of the log from which you wish to retrieve the log details.

To Date

The ending date range of the log until which you wish to retrieve the log details. Mandatory when mode is selected as “Consolidate”.

Log No.

A unique number identifying the log.

The system displays the following details in the multiline.

Log Status

The status of the log.

Log Date

The date on which the log details were created.

Vehicle No.

A unique number identifying the vehicle.

User Code

A unique code identifying the driver or equipment operator.

Name

The name of the driver or equipment operator.

Start Date

The date on which the log commenced.

Start Time

The time at which the log commenced.

End Date

The date at which the log ended.

End Time

The time at which the log ended.

Start Odometer Reading

The value of the odometer reading when the log started.

End Odometer Reading

The value of the odometer reading when the log ended.

The system displays the following details in the multiline.

Route No.

A unique number identifying the route.

From Location

The source location of the trip.

To Location

The destination location of the trip.

Vehicle Nature

Nature of the vehicle. The vehicle nature can be "Owned", or "Leased", or "Hired".

Vehicle Type

The vehicle type used in the trip.

Remarks

Any remarks pertaining to the log.

The system displays the following details in the multiline.

Transaction Type

Indicates the Transaction Type of the log. The transaction type can be “Trip Log”, or "Usage Log", or "Transport Log" or “Vehicle Log”.

The system closes the log and updates the status as “Closed”

Note: Only “In Progress” status ( in case of Trip / Vehicle / Transport Log) of the log can be closed.

Only “Fresh” status (in case of Usage Log)of the log can be closed.

Note:

  1. The revise pushbutton is visible only when the mode is selected as “Revise”.

  2. Only “Confirmed” and “Closed” status of the log can be revised.

The system revises the Confirmed/Closed log and updates the status as “Fresh/In Progress”.
