Basics of using Ramco Enterprise Series webpage

Using Online Help

This activity allows you to create the Plan Number against a (set of) vehicle / equipment request no.(s). You can search for the Vehicle / Equipment Requests and plan the trip. You can also search for request based on the required date location and vehicle/equipment type. You can also determine the type and quantity of vehicles/equipments to be hired based on shortfall in quantity of owned or leased vehicles/equipments. You can also map the required vehicle/equipment  requirement for each vehicle number.

The “Planning Details” page appears.

Note:  Clicking this icon available near certain fields takes you to the help page of the respective field.

The system displays the following details in the header.

Status

The status of the planning number. The status can be “Fresh”, or “Confirmed”, or “Under Amendment”, or “Deleted” or “Cancelled”.

Planning No.

A unique number identifying the vehicle planning.

Amendment No.

Use the drop-down list box to view the vehicle planning amendments.

Numbering Series

Use the drop-down list box to select the numbering series. The combo is loaded with the values defined for the Transaction Type – Vehicle Planning in Numbering Class Component.

Plan Date

The date on which the planning number was created.

Remarks

Any remarks pertaining to the vehicle planning.

Plan For

Use the drop-down list box to select a plan for the vehicle. The combo is loaded with “Trip”, “Usage” and “Usage w/o Ref.Doc.” The system displays “Trip” by default on launch of the page.

Reporting OU

Use the drop-down list box to select the reporting organization unit. The combo is loaded with all the Organization Units where ever the “Transport Log” business component is deployed along with a blank value.

Required Date

The date on which the vehicle is required.

From Location

The location from which the vehicle is required.

To Location

The location up to which the vehicle is required.

Time Slot

Use the drop-down list box to select the time slot for which the vehicles are being planned. The combo is loaded with the values defined in the Maintain Codes activity of TMS Common Master Component. The system displays “Blank” by default on launch of the page.

The system displays the following details in the “Requests Details” group box.

From Time

Indicates the shift start time.

To Time

Indicates the shift end time.

Required Type

Use the drop-down list box to select the required vehicle/equipment type for which you wish to plan the vehicle. The combo is loaded with all the vehicle types defined in the Maintain Codes activity of TMS Common Master Component.

Request OU

Use the drop-down list box to select the vehicle request organization unit. The combo is loaded with all the OU’s where the Vehicle Request component is deployed. The system displays “Blank” by default on launch of the page.

Status

Use the drop-down list box to select the vehicle request status. The combo is loaded with “All”, “Confirmed”, and “Partially Planned”. The system displays “All” by default on launch of the page.

Project

A unique code identifying the project. This Project Code should be in “Approved” status.

Project OU

Use the drop-down list box to select the project organization unit. The combo is loaded with all the OU’s where the Project Management Component is deployed. The system displays “Blank” by default on launch of the page.

The system retrieves and displays all the vehicle requests details in the “Request List” tab.

Requests List

Vehicle Request No.

A unique number identifying the vehicle request.

The system displays the following details in the “Vehicle Requests List” tab.

Request OU

The organization unit at which the vehicle is requested.

Project Code

A unique code identifying the project.

Project OU

The project organization unit at which the vehicle is requested.

From Location

The location from which the vehicle is required.

To Location

The location upto which the vehicle is required.

Type

Indicates the vehicle type defined in the Maintain Codes activity of TMS Common Master Component.

Qty

The requested quantity of the vehicle.

Owned Qty

The quantity of the owned vehicle (s) which was planned.

Hired Qty

The quantity of the hired vehicle (s) which was planned.

Balance Qty

The balance quantity of the vehicle.

Balance Qty = Required Qty -(owned qty. + Hired Qty)

Commodity Desc.

The detailed description of the commodity.

Weight (Tons)

The approximate sum of weight (in Tons) which is loaded across requested vehicles.

Volume

The approximate sum of volume, which is loaded across requested vehicles.

Volume (UOM)

The unit of measurement of the volume.

Area

The approximate sum of area that is loaded across requested vehicles.

Area (UOM)

The unit of measurement of the area.

Required Date

The date on which the vehicle has to report at origin location.

Required Time

The time at which the vehicle has to report at origin location.

Request Status

The status of the vehicle, which is requested for a trip. The status can be “Fresh”, or “Deleted”, or “Confirmed”, or “Under Amendment”, or “Short Closed” or “Planned”.

Requestor

The name of the person who requested for the vehicle.

Customer

The name of the customer.

Allotment Details

Ownership Type

Use the drop-down list box to select the vehicle ownership type. The combo is loaded with “Owned” and “Leased”. The system displays “Blank” by default on launch of the page.

Owner

The name of the vehicle owner.

Type

Use the drop-down list box to select the vehicle type. The combo is loaded with all the Vehicle Types defined in the Maintain Codes activity of TMS Common Master Component.

Retrieve

Use the drop-down list box to select the vehicles, which are free, planned, and In transit. The combo is loaded is with the following:

Free – The system retrieves the free vehicles for the vehicle allotment.

Planned – The system retrieves the planned vehicles for the vehicle allotment.

In-Transit – The system retrieves the In-Transit vehicles for the vehicle allotment.

The system retrieves and displays the following details in the multiline.

Vehicle No.

A unique number identifying the vehicle.

Type

Indicates the vehicle type defined in the Maintain Codes activity of TMS Common Master Component. The vehicle type can be “Owned” or “Hired’.

Owner

The name of the vehicle owner.

Vehicle Status

Indicates the availability of the vehicle, If already booked. Values can be “Planned” or “Free” or “In transit”.

Vehicle Request No.

Use the drop-down list box to select the vehicle request number for mapping to the vehicle plan. The combo is loaded with all the distinct Vehicle Request Number saved in the Vehicle Request List tab.

The system displays the following details in the multiline.

Required Type

Indicates the required vehicle type.

Required Quantity

Indicates the required quantity of the vehicle.

Note: Atleast one vehicle request quantity should be zero to combine multiple vehicle requests for a single vehicle.

Last Updated Location

Indicates the vehicles last known location.

Last Updated Date - Time

Indicates the date and time when the vehicle activities were last updated.

Last Updated Activity

Indicates the last updated activity of the vehicle. Eg. Loaded, Unloaded or Gate – out.

Expected Destination

Indicates the expected destination of the vehicle.

Destination ETA

The vehicles expected time of arrival at the destination.

Distance From Required Location

Distance between the expected destination of the vehicle and vehicle required location.

Expected Transit Hours

Transit time between the expected destination of the vehicle and required location.

Required Location ETA

Expected time of arrival at the required location.

Required Location ETA = Destination ETA + Expected Transit Hours.

Within Time Slot

Displays“Yes”, if the expected time of arrival at the required location is within the time slot of the request. Else, “No” if the expected time of arrival is not within in the time slot of the request.

The system updates the Vehicle Request status as “Partially Planned” / “Planned” on Map/unmap.

Summary

The system displays the following details in the “Summary” tab.

Type

The vehicle type with respect to the vehicle plan.

Required Qty

Number of vehicle requested.

Owned Qty

sum of all the planned qty.

Hire Qty

Required Qty - Available qty.

The system generates the “Vehicle Planning Number” in Fresh status.

The system amends the “Vehicle Planning Number” and updates the status as “Under Amendment”.

Note: Only “Confirmed” and “Fresh” status of the Vehicle Planning Number can be amended.

The system confirms the Vehicle Planning Number and updates the status as “Confirmed”.

Note: Only “Fresh” status of the Vehicle Planning Number can be Confirmed.

The system cancels the Vehicle Planning Number and updates the status as “Cancelled”.

The system deletes the Vehicle Planning Number and updates the status as “Deleted”.

Note: Only “Fresh” status of the Vehicle Planning Number can be deleted.

To proceed, carry out the following

The system displays the following details in the “Data History” group box.

Created By

The name of the person who created the vehicle planning details.

Created Date

The date on which the vehicle planning details was created.

Modified By

The name of the person who modified the vehicle planning details.

Modified Date

The date on which the vehicle planning details was modified.
