Using online help

This activity allows you to authorize or view the attendance summary of the employees. When the mode is selected as “Authorize”, the attendance summary of the employee is validated before authorization. If an exception exists during validation, then the View Error Log link is launched to view the error log details which caused the exception. After the successful validation of the records without exception, the authorization of the record is done which results in the generation of the Work Reporting number. When the mode is selected as “View”, the system displays the attendance summary details along with the work reporting details for the search combination provided.

The “Authorize Attendance Reporting” page appears.

In the header the mandatory fields are represented as bold and in the multiline the mandatory columns are either bold or displayed in a color other than black.

Mode

Use the drop-down list box to select the mode by which the attendance reporting details are to be fetched for authorization or viewing. The combo is loaded with the options “Authorize” and “View”.

Attendance Date From

The start date in the range of attendance reported dates from which the records are to be fetched for authorization/viewing.

Attendance Date To

The end date in the range of attendance reported dates until which the records are to be fetched for authorization/viewing. This date should be greater than or equal to Attendance Date From.

Contract No. From

The starting number in the range of contract numbers from which the records are to be fetched for authorization/viewing.

Contract No. To

The ending number in the range of contract numbers until which the records are to be fetched for authorization/viewing.

Customer Code From

The starting code in the range of customer codes from which the records are to be fetched for authorization/viewing.

Customer Code To

The ending code in the range of customer codes until which the records are to be fetched for authorization/viewing.

Site ID From

The starting number in the range of site Ids from which the records are to be fetched for authorization/viewing.

Site ID To

The ending number in the range of site Ids until which the records are to be fetched for authorization/viewing.

Bill to ID From

The starting number in the range of bill to Ids from which the records are to be fetched for authorization/viewing.

Bill to ID To

The ending number in the range of bill to Ids until which the records are to be fetched for authorization/viewing.

Assignment No. From

The starting number in the range of assignment numbers from which the records are to be fetched for authorization/viewing.

Assignment No. To

The ending number in the range of assignment numbers until which the records are to be fetched for authorization/viewing.

The system fetches the Attendance Summary details in the multiline based on the search criteria provided. The consolidated regular and OT hours for the Contract-Contract Line No combination is displayed in the multiline.

The system displays the following in the “Attendance Summary” multiline:

Contract No.

The number identifying the contract for which the attendance reporting details of the employees are to be authorized /viewed.

Assignment No.

The number identifying the assignment for which the attendance reporting details of the employees are to be authorized /viewed.

Contract Line No.

The line number at the contract level.

Item Desc

The description of the item required for the service at the Site.

Customer Name

The name of the customer for whom the service is rendered.

Site ID

The code identifying the site where the service is carried out by the employees.

Bill to Id

The ID for which the invoice is generated for the service rendered at the Site.

Post

The number identifying the post in the Site where the employee is deployed to render the service.

Regular Hours

The regular hours clocked by the employee.

OT Hours

The over time hours clocked by the employee.

From Period

The start date of the service at the Site.

Start Date of Billing Cycle

The actual start date of the billing of the service.

To Period

The end date of the service at the Site.

Finance Book

The finance book to which the service is mapped.

Invoicing OU

The OU where the invoicing is to be done.

Note: At least one row should be selected in the multiline.

The following are the case when the exception arises:

1.       Employee working hour is more than 24 hours for the same Contract/Assignment No/PD Line No/Date Range combination.

2.       Employee working hour is more than 24 hours for a specific date range.

3.       Same employee reported against a different contract for the same date range.

4.       If the reported hour is less than the planned hours. Reported vs Planned hours for a Contract-Contract Line No will be validated for each and every day.

For example, consider the attendance data for a period 01/07/2010 to 23/07/2010.As per the contract if the Quantity is 5 and the Deployment Hour is 8, then the Planned Hours for a day is 40 Hrs. So the Reported Hrs for each and every day for the period 01/07/2010 to 23/07/2010 should be more than or equal to 40 Hrs irrespective of billable or Non billable flag.

The system validates the data and displays the following in the multiline:

Exception

The system displays “Error Exists” if there is an exception. Else it displays Blank.

Note: At least one row should be selected in the multiline. The Exception of the selected row should be “Validated”. Else the system throws an error. The system also throws an error message when Work Reporting number is generated already for the selected line number.

The system displays the following in the multiline:

Work Reporting No.

The number identifying the work reporting.

Work Reporting Date

The date on which the work reporting number was generated.

Work Reporting Status

The status of the work reporting. The status of the work reporting transaction will be created in “Fresh” or “Authorized” status based on the Parameter value defined in the “Set Function Parameter” activity.

To proceed, carry out the following,

When the mode is selected as “View”

When the mode is selected as “View”, then the buttons – “Validate” and “Authorize” and the link “View Error Log” will not be visible. The columns – Exception, Work Reporting No, Work Reporting Date and Work Reporting Status will be displayed in the multiline after the execution of the Search task.
