Select the “Authorize Release Slip” link at the top of the “Select Release Slip” page.
The “Approve Release Slip” page appears.
The system displays the status of the release slip.
The system displays the following in the header:
Work Flow Status |
The status of the document as per Work flow Applicability. The Work flow status will be visible only if "Workflow Applicability" for the transaction is set to Yes in Company Parameter Setup component. |
The system displays the following in the “Release Slip Details” group box:
Release Slip No. |
Unique identification number of the Release Slip with which it is referred. |
Amendment No. |
Unique identification number of the Amendment document. The Amendment document is created whenever any modifications are done to the approved document. |
Enter the following:
Approval Date |
The date on which the document was approved. (Date Format). |
The system displays the following:
Release Slip Date |
The Date in which the Release Slip document was created. (Date Format). Mandatory. |
Folder |
Use the drop down list box to select the folder in which the release slip documents are present. |
Contract Type |
The type of the contract is displayed. |
Blanket PO No. |
The Unique identification number of the BPO. |
Blanket PO Date |
The Date of creation of the BPO. |
Type |
The type of the Release Slip is displayed in this field. |
Supplier Code |
Code or identification number of the supplier. |
Name |
Name of the Supplier associated with the supplier code. |
Enter the following:
Hold |
Check this box if you want this release slip to be put in hold. |
The System displays the following:
Buyer |
Use the drop down list box to select the code or identifier of the buyer. |
Blanket PO Created At |
The name of the OU in which the Blanket PO was created is displayed. |
Rate Control |
The system displays “Yes” or “No” in this field stating that whether rate control is needed or not. |

You can enter valid comments about the release slip in this field. |
The System displays the following in the “Release Slip Amount Details” group box:
Release Slip Value |
The total value of the release slip document is displayed. |
Additional Charges |
The additional charges incurred for the item is displayed. |
Total Value |
The total value of the items mentioned in the release slip is displayed. |
Currency |
The currency in which the value of the release slip is specified is displayed. |
Exchange Rate |
The Exchange Rate in which the release slip value is calculated is displayed. |
Base Currency Value |
The Release Slip value calculated in base currency is displayed. |
Enter the following in the “Default Entries” group box:

Use the drop-down list box to select the receiving OU of the Line Item. . |
Need Date |
The Date on which the Item is needed. . (Date Format). Mandatory. |
Warehouse Code |
Code or identifier of the warehouse where the items are stored. |

Use the drop down list box to select the financial book associated with the release slip. |
CC Usage |
Use the drop-down list box to select the user-defined name, which actually points to a Cost Center. The Cost Center for which the items in the release slip has been ordered. In case of Service Item, Adhoc Item CC Usage needs to be specified. |
Account Usage |
Use the drop-down list box to specify the Account Usage, which is used to get an account code from ARD component (Account Rule Definition). Specifying a AC Usage is mandatory in case the line item is a Non-Stockable item. |
Analysis Code |
Code/Identifier that is mapped to the account code that is used for analysis purposes. . (Alphanumeric, 5). |

Description stating the name of the item code or the item code and variant. In case of Adhoc Item only description is specified without item code and variant. |
Blanket PO Balance Qty |
The balance quantity, which has to be delivered to the customer, is displayed. |

The Quantity ordered for the line item is entered in this field. |
The System displays the following,
UOM |
The Unit Of Measure in which the customer wishes to purchase the goods from his supplier. This appears as a hyperlink and can be accessed to view Unit Of Measure related details. |

Cost |
The Actual cost of the item for making a purchase. |
Cost Per |
The Basic unit of the UOM specified in which the purchase quantity is measured. |
Receipt At |
Use the drop down list box to select the name of the place where the customer receives the goods. This field will be filled automatically if the “default entries” push button is accessed. |
Warehouse Code |
Unique code/identifier of the Warehouse where the items are stored before consumption. This field will be filled automatically if the “default entries” push button is accessed. |

Schedule Type |
Use the drop-down list box to select the Schedule Type. It can be “Single” or “Staggered”. If Single schedule type is selected, it would instruct the supplier to deliver the items all at a time. If it is Staggered schedule type, the line item quantity is divided in to part deliveries. |
Need Date |
The Date in which the buyer needs the items. (Date Format). The Need date is filled with a date only when the Schedule type is “Single”. If the Schedule type is “Staggered”, then the need date would be filled in the Schedule Type page where multiple delivery dates are assigned for a particular item. This field will be filled automatically if the “default entries” task is executed. |
Accounting Unit |
The Financial Book also known as Accounting Unit. There are various financial books available within the Buyers organization. He specifies a particular Financial Book for all the purchase payment related details. The Supplier can also raise payment related documents to that particular financial book also called as Accounting unit. This field will be filled automatically if the “default entries” push button is accessed. |

The Basic value of the purchased product based on the Quantity, cost and Per ratio. |

Unique identification number of a reference document is mentioned in this field. The Reference documents can be of any external document from which certain references are taken regarding the items. |

The rate tolerance percentage is displayed in this field. |
Project OU |
The organization unit in which the project is defined. |
Project Code |
The unique code identifying the project associated with purchase release slip. |
Project Description |
The detailed description of the project associated with purchase release slip. |
WBS ID |
A unique code identifying the work breakdown structure of the item. |
Task Code |
The task code mapped to the purchase release slip. |
Task Desc. |
The detailed description of the task code. |

Remarks |
The Buyer can key in his comments through which he can convey certain information that are related to him or to the purchase. Additional information can be provided in this field. |
Click the “Default Blanket PO Line Item” pushbutton to default the line items of the selected Blanket PO in to the “Item Details” multiline.
Click the “Approve Release Slip” pushbutton to approve the details of the release slip or “Return Release Slip” push button to return the release slip.
Click the “Print” pushbutton to print the Purchase Release Slip document.
To proceed, carry out the following
Select the “Item Details” link at the bottom of the page to view the information pertained to the item information.
Select the “UOM Details” link at the bottom of the page to view the complete details about the selected unit of measure.
Select the “Specify Schedule & Distribution” link at the bottom of the page to state the information regarding the Schedules and about the distribution process.
Select the “Define Terms & Conditions” link at the bottom of the page, to state the terms and conditions pertaining to the items specified.
Select the “Specify TCD Details” link to state the information regarding Taxes, Charges, and Discounts.
Select the “Specify Budget Details” link to state the budget oriented details.
Select the “Specify Dropship Address” link to state the buyer’s address to which the goods are directly supplied when the Purchase Order type is Dropship.
Select the “Cover Release Slip for PR” link to state the coverage details of the items specified in the Purchase Request.
Select the “Cover Release Slip for Sale Order” link to state the coverage details of the items specified in the Sale Order.
Select the “Specify Quality Attributes” link to state the quality attributes of the items.
Select the “Attach Notes” link to attach a small note stating some additional information for particular line information or the business document.
Select the “Tax Calculation - Summary” link to specify the tax details.
Select the “Blanket PO Details” link to view the details of the BPO attached to the release slip.
Select the “Supplier Details” link to view the details of the supplier for whom the Release Slip is created.
Select the “Budget Details” link to view the details of the buyer to show the amount assigned for the purchase of the Item groups. The items are grouped with a unique code and the amount spent for the purchase of certain item groups are listed in that page.
Select the “Proposal Details” link to view the capitalizable items and their details.
Select the “Warehouse Details” link to view the warehouse related details.
Select the “View Disposition Review” link to view the planning done for the items.
Select the “View Earliest Available Date” link to view the earliest date in which the goods are available.
Select the “View Free Stock Details” link to view the items that are not related to any demand and are free to be delivered to the buyers. The Free Stock quantity is kept apart for any urgent requirement of the items. The information regarding the items is supplied and the Free Stock quantity available for those items can be found.
Select the “View Stock Status Review - OU” link to view the stock status in the different organizational units present under an Organization structure.
Select the “View Stock Status Review – WH wise” link to view the stock status in various warehouses.
Select the "Operational Checklist" link to record the check list required for the purchase release slip.

Approve Release Slip - An Overview
The information in this screen is categorized as Release Slip Details, Release Slip Amount Details, and Item Details. Only three fields can be updated in the release slip details and they are approval date, hold, and remarks field. All the fields in the release slip amount details information tab appear as read only. You can enter values in the multiline and the default entries tab can be used to fill in values to all the line items in the multiline. The “Default Blanket PO Line Item” push button can be accessed to list the line items present in the blanket purchase order to the multiline. You can access the “Approve Release Slip” push button to approve the details of the release slip. The “Return” push button can be used to return the details of the release slip. The “Print” push button can be accessed to print the release slip document.
