Maintain Project / Sub Project
This page allows you to capture the relevant details of the project / sub project details such as contact details, stakeholders, project team and also allows you to perform project warehouse and project cost center mapping.
Cost Centers/CC Usages are already captured at the transaction level. Based on the Cost Center mapping, the project code or the sub-project code (as the case may be) would be derived by FBP. The Cost Center - wise profitability would be derived for each cost center and based on the mapping with Project / Sub-Project Codes, the project level profitability would be arrived at.
Select the Maintain Project link under the Project Definition business component.
The Maintain Project / Sub Project page appears.
The system displays the following details in the header.

Workflow Status |
The workflow status of the project. |
Note: The “Workflow Status” field is visible when the “Workflow Parameter” is set as “Yes” in the “Company Parameter Setup” component.
The system displays the following details in the header.

Status |
The status of the project / sub project. The status of the project can be Draft, or Fresh,or Shortclosed, or Closed, or Deleted or Approved. |

Project Code |
The unique code identifying the project. (Alphanumeric, 70). |

The name of the project. Mandatory. (Alphanumeric, 150). |

Reference Proposal ID |
The reference proposal ID of the project. Help facility available |
Note: This field will be visible only when the “Proposal Mandatory for Budget Creation” has been set yes in the “Set Function Parameters” activity.

The employee code of the project manager. Mandatory. (Alphanumeric, 60). Help facility available. |

The name of the project manager. |

Project Budget Based on |
Use the drop-down list box to specify the budget type applicable for the project. The options are “Cost Center”, “Account Code” and “Cost Center - Account Code”. |

The number reason for amending the project. Help facility available. |

Revision No. |
The unique number identifying the revision number. |

Revised On |
The date on which the project was revised. |

Project Definition For |
Use the drop-down list box to select the project definition. The values “Generic” and “Construction” get populated. The system defaults the value according to the values set in the System Parameter page. |

Customer Code |
The unique number identifying the customer. |

Customer Name |
The name of the customer. |
Select the following from the header.

Order Value Check |
Use the drop-down list box to specify order value check. The combo is loaded with “No” and “WBS Level”. The system displays “No” by default on launch of the page.

Use the drop-down list box to select the definition. The values Definition and Definition and Activities get populated. |

Source Organization Unit |
Use the drop-down list box to select the source organization unit. |

Source Project |
The name of the source project. Ensure that the entered source project exists already. (Alphanumeric, 70). |

Source Project Name |
The name of the source project. The system displays the source project name according to the source project entered. |
Click the Copy pushbutton to copy the source project details.

Project Type |
Use the drop-down list box to select the project type. The values Billable and "Non-Billable gets populated.If Billable flag is set then project milestones needs to be defined before project approval Mandatory. |

Material Cost Center |
The default material cost center required to approve the project. |

Resource Cost Center |
The default resource cost center required to approve the project. |

Project Category |
Use the drop-down list box to select the project category. The values Small, Medium and Big get populated. The system defaults the value Small on launch of the page. |

The date on which the project was initiated / commenced. |

Detailing Required |
Use the drop-down list box to select the option to choose whether detailing is required or not. The values Yes and No get populated. The system defaults the value No on launch of the page. |

Estimated Start Date |
The estimated date on which the project is planned to start. (Date format). |

Estimated End Date |
The estimated date on which the project is planned to complete. (Date format). |

Estimated Project Cost |
The total estimated cost of the project. (Alphanumeric, 28). |

Approval Required For |
Use the drop-down list box to choose the approval required component. The combo is loaded with "Budget", "Task", "Task & Budget" and "None". The system displays " None" by default on launch of the page. |

Budgeted Cost |
The total budgeted cost of the project. (Alphanumeric, 28). |
|
Project Currency |
The currency of the project. (Alphanumeric, 28). |
|
Address 1 |
The address 1 details of the project. (Alphanumeric, 70). |

Address 2 |
The address 2 details of the project. (Alphanumeric, 70). |
|
City |
The name of the city where the project is to be started. (Alphanumeric, 70). |

State |
The name of the state where the project is to be started. (Alphanumeric, 70). |

Zip Code |
The zip code pertaining to the city entered. (Alphanumeric, 70). |

Country |
The name of the country where the project is to be started. (Alphanumeric, 70). |

Location Type |
Use the drop-down list box to select the location type of the project. The combo is loaded with the location types defined in the Maintain Codes activity. The system displays “Blank” by default on launch of the page. |

Design By |
Use the drop-down list box to select the name of the person for whom the project is designed. The combo is loaded with “Client” and “Self”. The system displays “Client” by default on launch of the page. |

Sub Project |
Check this checkbox if the project is a sub project. |
|
Client Project Code |
A code identifying the client's project. |
|
Client Project Name |
The detailed description of the client’s project. |
|
Parent Project’s OU |
Use the drop-down list box to select the parent organization unit. |

Parent Project Code |
The unique code identifying the parent project. This code is to identify the parent project of the sub project entered. (Alphanumeric, 70). |

The resource budget which has been allotted for the execution of the project. |

Total Budget |
The total budget available for the project. |
Enter the following details in the "Scheme Details" group box:(This section will be made available only for construction projects)

The name of the scheme. (Alphanumeric, 70). |

Enter the following details in the "Scheme Details" group box:

Basis |
The task base rate at which the task rate has to be calculated. Mandatory for construction projects. Basis should be in “Authorized” status. |
Note: Already entered Basis cannot be modified after the project is Approved.

Amendment No. |
Indicates the latest amendment number of the Basis while being mapping to the Project. (Display Only) |
This page has three tabs namely Contact details, Project Team and Project Stakeholders
Click the "Maintain" pushbutton to maintain the project / subproject details.
The system maps all the task to the cost table and saves the co-efficient value.
Click the "Approve" pushbutton to approve the project / subproject details.
Click the "Revise" pushbutton to revise the project / subproject details.
Click the “Return” pushbutton to return the project / subproject details.
Click the "Close" pushbutton to close the project / subproject details.
Click the "Delete" pushbutton to delete the current project / subproject details.
To proceed, carry out the following:
Select the Project-Cost Center Mapping link at the bottom of the page to launch the project cost center mapping page.
Select the Project-Warehouse Mapping link at the bottom of the page to launch the project warehouse mapping page.
Select the Work Break Down Structure link at the bottom of the page to launch the work break down structure page.
Select the “Maintain Source of Funds” link at the bottom of the page to specify the source of funds.
Select the Specify Issues and Risks link at the bottom of the page to launch the specify issues and risks page.
Select the “Maintain Project Milestones” link at the bottom of the page to specify the milestone of the project.
Select the "Attach Notes" link at the bottom of the page to launch the attach notes page.
Select the “Specify Reference Document” link at the bottom of the page to specify the reference document details.
Select the “Specify Tasks, Materials & Resources” link at the bottom of the page to specify the tasks, materials and resources details.
Select the “Specify Co-Efficient” link at the bottom of the page to specify the co efficient details.
Note: The "Specify Co-Efficient" link is visible for the construction projects.
