Hold / Release / Cancel Quotation
The page allows you to hold or cancel the selected quotation. Tell me more
Select the “Hold / Release / Cancel Quotation” link under the “Quotation” business component.
The “Hold / Release / Cancel Quotation” page appears.
The system displays the following field:

Work Flow Status |
The workflow status of the sales quotation. |
Note: The field “Work Flow Status” is visible only when “Workflow Parameter” is set as “Yes” in the “Company Parameter Setup” component for sales quotation.
Enter the following details in the “Search Criteria” group box:

Quotation No. From |
The starting number in the range of quotation numbers for which the details are to be retrieved (Alphanumeric, 18). You can also enter the number in full or specify it partially using the “*” character. The system lists all the quotation numbers that are greater than or equal to the value entered here. If this field is left blank and the “To” field is entered, then the system retrieves the quotations starting from the first quotation number till the quotation number specified in the “To” field. |

Quotation No. To |
The ending number in the range of quotation numbers for which the details are to be retrieved (Alphanumeric, 18). The system lists all the quotation numbers that are lesser than the value entered here. The number entered here must be greater than the number entered in the “Quotation No. From” field. |

Customer Code |
The code identifying the customer (Alphanumeric, 18). |

Created Date From |
The starting date in the range of dates from which the quotation details must be retrieved (Date Format). The value entered in this field must be less than the system date and the date entered in the “To” field. The system date is displayed by default on launch of the page. |

Created Date To |
The ending date in the range of dates from which the quotation details must be retrieved (Date Format). The value entered in this field must be less than the system date and greater than the value entered in the “Quotation Date From” field. |

Zip Code |
The zip code applicable to the address (Alphanumeric, 20). |
|
Total Value From |
The start value in the range of total values of the quotation for which the details are to be retrieved (Integer). The system displays all the quotations within the specified range of quotation values. |
Note: Total Values = Total of Item Basic Price+ Total Tax+ Total Charges+ Total Discount.

Total Value To |
The end value in the range of total values of the quotation for which the details are to be retrieved (Integer). The system displays all the quotations within the specified range of quotation values. |

Customer Name |
The name of the customer (Alphanumeric, 60). |
|
Item Code |
The code identifying the item (Alphanumeric, 32). |
|
Variant Code |
The code identifying the variant of the item (Alphanumeric, 8). |

Item Variant Desc. |
The description of the item variant (Alphanumeric, 150). |

Status |
Use the drop-down list box to select the status of the quotation. You can select from “Fresh”, “Authorized”, “Amended” or “Held”. The system displays “Fresh” by default on launch of the page. |
Click the “Search” pushbutton to retrieve the quotation details.
The system retrieves all the Quotations that are in “Fresh”, “Authorized”, “Amended” or “Held”.
The system displays the following details based on the result of the “Search Criteria” group box in the “Search Results” multiline:

The number identifying the quotation. |

The name of the customer. |

The currency applicable to the quotation. |

Total Value |
Total of Item Basic Price+ Total Tax+ Total Charges+ Total Discount. |

Status |
The status of the quotation. It can be “Fresh”, “Authorized”, “Amended” or “Held”. |
Enter the following field:

Reason Code |
The code identifying the reason (Alphanumeric, 5). The system ensures that this field is not left blank. It checks for the existence of the reason code and also checks if it is in “Active” status from the “Category” business component. |

The system displays the following detail:

Reason |
The description of the reason code. The system populates the description pertaining to the reason code from the “Category” business component. |
Check the box in the “Select” column of the multiline to select the quotation number.
Click the “Hold” pushbutton to hold the selected quotation(s)in the multiline.
The system ensures that the selected quotation(s) are not in "Held" Status.
The system saves the selected "Quotation No.(s)" with all its associated details.
The status of the selected quotation(s) is updated to "Held".
The system stores the login user ID and the system date along with the modified details.
Click the “Release” pushbutton to release the selected quotation(s) that are in “Held” status.
The system ensures that the quotation number(s) selected should be in "Held" Status. Or else, it displays an error message.
The system saves the selected "Quotation No.(s)" with all its associated details.
The status of the selected quotation(s) is set to the status in which it was prior to the "Held" Status.
The system stores the login user ID and the system date along with the modified details.
Click the “Cancel” pushbutton to cancel the selected quotation(s) that are in “Authorized” status.
The system ensures that the selected quotation(s) status is in "Authorized" or "Amended".
The system saves the selected "Quotation No.(s)" with all its associated details.
The status of the selected quotation number(s) is updated to "Cancelled".
The system stores the login user ID and the system date along with the modified details.
To proceed, carry out the following
Select the “View Additional Details” link at the bottom of the page to view additional details pertaining to the quotation.
Select the “View Schedule” link at the bottom of the page to view the schedule details.
Select the “Attach Notes” link at the bottom of the page to view the attached notes.
Select the “View TCD by Item” link at the bottom of the page to view TCD details for each item line.
Select the “View TCD by Document” link at the bottom of the page to view TCD details by document.
Select the “View Attributes” link at the bottom of the page to view attribute details.
Select the “View Quantity Price Break” link at the bottom of the page to view the price break details for the items quoted.
Select the “View Promotional Items” link at the bottom of the page to view the details of the promotion Items.
Select the "Operational Checklist" link to view the checklist recorded during the quotation generation for a customer.
Hold/Release/Cancel Quotation – An Overview
This page also allows you to release the selected quotation that is on hold. You can carry out a search process for selecting the quotation. If the number identifying the quotation is known, it can be entered or else you can carry out a search by specifying a range for the quotation number. You can also search by specifying the code identifying the customer or by specifying a range for the date on which the quotation was created. You can also specify the zip code or by specifying a range for the total value or specify the name of the customer who has raised the quotation. You can also search by specifying the item details.
You can hold quotations that are in “Authorized” or “Fresh” or “Amended” status. The system ensures that the selected quotation is not in “Held” status. After holding the quotation, the status is updated to “Held”. If the reason code for which you have put the quotation on hold is known, it can be entered or else you can select the code by using the help facility available. The description pertaining to the reason code is retrieved and displayed in the multiline.
You can also release quotations that are put to hold. The system ensures that only those quotations that are in “Held” status are selected. The status of the quotation is updated to the status in which it was prior to the “Held” status.
You can also cancel quotations that are in “Authorized” or “Amended” status. The status of the selected quotation(s) is set to “Cancelled”. The system stores the login user ID and the system date along with the modified details.
Reason code must have been defined in the “Create Category Types” activity of the “Category” business component.
